Hours: 37 hours per week (Monday to Friday, 08:30 - 16:30, with 36 minute unpaid daily break)


Salary: 29,013 - 33,537 (SCP 22 - 28)

JOB DESCRIPTION:




The Operations Officer will play a key role contributing to the smooth operational running of the organisation. This will include maintaining the effective operation of key functions, including the safety and security of young people in our care, our colleagues and visitors.


In conjunction with the duty and operational managers, the Operations Officer will contribute towards the safety and security of the campus and make appropriate operational decisions regarding resource management, ensuring staff and physical resources are managed effectively and efficiently deployed. The role will also include the recording and reporting of incidents and coordination of activities for young people campus wide.


The Operations Officer will have responsibility for operational campus security through the robust monitoring of internal CCTV and security procedures and oversight of associated paperwork.


The role will also perform a holistic Inspection focus by providing administrative support to operational functions across the year.

In conjunction with the Duty Manager and other relevant operational managers, assume collaborative operational responsibility for Rossie and its essential functioning:



Planning, coordination and effective use of all resources for the purposes of safe operation during core operational hours through the coordination of 'Planday', ensuring consistent and effective shift cover arrangements Proactive planning and problem solving in relation to staffing issues, alerting senior managers in advance and where required During core operational hours (08:30 - 16:30) monitor the safety and movement of young people and employees Effective recording and quality assurance of all incidents on Behaviour Watch and coordination of post-incident support Ensure reporting and recording requirements are met in a timely and accurate manner Coordination of debriefs for all employees, ensuring these are communicated and conducted in a timely manner Coordination of organisational centralised calendar and car booking process Support reception employees in core duties pertaining to operational departments During core operational hours, support Duty Manager in coordinating safe movements of young people and employees, both on campus and external to Rossie Support the Duty Manager in coordinating employee support during any incident response and subsequent management of this Understand and uphold Rossie's Health and Safety policies and operational responsibilities/policy requirements

Support in the coordination of continuous improvement of operational provision and the development of operational-based services:



Adhere to best practices, support and direct others to work in adherence to organisational policies, procedures and relevant legislation within your area of responsibility Promote and adhere to necessary legislative requirements ensuring consistency and fairness of practice within your area of responsibility Maintain an up-to-date knowledge of developments in childcare within Rossie and wider afield and, where appropriate, share with colleagues Support the coordination and collation of relevant documentation to support regulatory inspections processes for all departments

Ensure a safe and caring environment for all young people placed within Rossie:



Contribute to a trauma-informed understanding, attachment informed model of care whilst carrying out the role Ensure appropriate safety within which young people can feel protected and safe from harm Ensure full and appropriate communication regarding young people is provided throughout Rossie in line with your role requirements Effectively and consistently support the planning and coordination of evening, weekend and holiday activities with young people and employees Attend relevant operational meetings to ensure contribution to full information being provided to facilitate the smooth running of operational services

Identify and, where necessary, report on any instances of poor or unsafe practice and to co-operate in any investigations or procedures which may result Contribute to the agenda of continuous quality improvement Ensure any data or information requests within your areas of responsibility are maintain approapriately to allow relevant managerial reporting

PERSON SPECIFICATION:




Qualifications (Essential):



Business or administrative qualification at SCQF 6 or above

Qualifications (Desirable):



HNC/HND Social Care or equivalent level qualification (SCQF 6)

Code of Practice for Employers and Employees as published by the SSSC GDPR and confidentiality Microsoft Office packages including Word, Excel, Office 365, Outlook, OneDrive and SharePoint
