The Role
The Operations Support role keeps the operational "heartbeat" of the business steady, connecting information, coordinating activity, and ensuring progress keeps pace.
Working closely with the Managing Director, this role provides high-quality administrative and organisational support across the business. This includes office management, facilities coordination, basic HR and payroll administration and structured business reporting.
A small proportion of the role also includes marketing assistance, focused on executional tasks such as event logistics, writing and publishing newsletters, web updates, and managing social content. Marketing input is supportive, administrative and delivery-focused rather than strategic.
Key Responsibilities/Duties
Business Administration & MD Support
Provide direct support to the MD including meeting preparation, structured follow-ups and action tracking.
Collate data and reports relating to complaints, operational performance or business KPIs.
Prepare agendas, minutes, and documentation for internal meetings.
Assist with the preparation of company presentations, project coordination and ad-hoc research tasks.
Act as a clear communications link where required between the MD and internal teams, ensuring alignment and continuity.
HR & People Administration
Support basic people administration including recruitment coordination and new starter documentation and IT set up.
Assist with induction scheduling, onboarding logistics, desk setup and office orientation for new colleagues.
Maintain internal records, HR filing, and assist with data collation needed for payroll submission.
Office Management & Facilities
Manage the operational environment to ensure the office is organised, welcoming and professionally maintained.
Order and manage office supplies, equipment, consumables and associated budgets.
Oversee desk moves, equipment allocation, key management and the office asset register.
Coordinate with the Compliance Lead on Health & Safety matters and basic facilities risk tasks.
Manage annual and periodic internal office events such as quarterly socials, the Summer event and Christmas party.
Systems, Tech & Telephony
Coordinate with IT suppliers on devices, equipment queries and user set-ups.
Manage admin updates to the telephony system, recorded messages, operating hours and voicemail settings.
Administer mobile phone allocations, upgrades, plans and device queries.
Complaints, Customer Voice & Governance Support
Produce structured monthly reporting for complaints and call trends.
Ensure records are accurate, well-structured and auditable.
Marketing Support
Support the Marketing Manager and wider business on smaller-scale activity, including but not limited to:
Formatting and distributing internal newsletters
Coordinating imagery, captions or property information for social posts
Posting content to social media channels
Ensuring tone, alignment, logo use and quality standards are met on posts and materials
Uploading and maintaining basic website content (i.e. staff bios, property copy, photos, service pages)
Making minor CMS updates
Supporting logistics and collateral for local business partnerships or small-scale brand activity
Assisting with internal content requests (photos, templates, formatting, asset coordination)

Confident with IT platforms, digital tools, CMS navigation and office systems

Experience
Previous experience in operational support, administration, EA/PA or office management roles, including:
Exposure to HR administration desirable
Familiarity with basic payroll inputs advantageous
Experience in simple content formatting and social posting beneficial
