The Operations Support Manager plays a key role in ensuring the smooth running of the Practice. Working with the Operations Manager and nonclinical teams, the role supports effective health & safety, information governance, administrative processes and support functions. It contributes to a positive, patientfocused culture by resolving operational issues efficiently and supporting compliance and audit activity. You will act as a point of support for staff and patients, promoting a professional environment. The role requires confidentiality, attention to detail and strong crossteam collaboration.
You will be: organised, patientfocused, a strong communicator, calm under pressure, analytical, ITliterate, adaptable and aligned with our values. Healthcare experience isnt essential, we welcome applicants from all sectors.

Hours:30 hours over 4 days -Monday, Tuesday. Wednesday and Friday or 5 days -Monday to Friday.

Main duties of the job
a. To offer IG guidance to the wider team and contribute to the annual Data Protection Toolkit submission. Support in the writing of all IT related policies and protocols and user guides.
b. Ensure staff adhere to practice policies regarding IT security and ensure conformance to information governance. Liaise with the Data Protection Officer as required.
c. Ensure compliance with essential health & safety checks, risk assessments and reporting. Undertake risk assessments and mandatory training as required.
d. Maintain compliance-related records on Practice Index including health and safety checks and policy acknowledgements. Monitor deadlines/follow-up actions relating to compliance tasks and audits. Help prepare documentation and reports for audits.
e. Administration support to other non-clinical teams in times of absence or high workload including patient registrations, data entry, reception and call taking.
f. Line management of Admin Team and Practice Support Assistant

Job responsibilities
The following are the core responsibilities of the Operations Support Manager. On occasions there may be a requirement to carry out other tasks which are listed below under secondary responsibilities. This will be dependent on factors such as workload and staffing levels:
a. To offer IG guidance to the wider team and contribute to the annual Data Protection Toolkit submission. Support in the writing of all IT related policies and protocols and user guides.
b. Ensure staff adhere to practice policies regarding IT security and ensure conformance to information governance. Liaise with the Data Protection Officer as required.
c. Ensure compliance with essential health & safety checks, risk assessments and reporting. Ensure all staff are aware of the management of the premises, including health and safety aspects and undertake risk assessments and mandatory training as required. Liaise with external H&S consultant as required.
d. Monitor and disseminate information on safety alerts and other pertinent information.
e. Maintain compliance-related records on Practice Index including health and safety checks and policy acknowledgements. Monitor deadlines/follow-up actions relating to compliance tasks and audits. Help prepare documentation and reports for internal/external audits.
f. Administration support to other non-clinical teams in times of absence or high workload including patient registrations, data entry, reception and call taking including telephone queue busting.
g. To offer IG guidance to the wider team and contribute to the annual Data Protection Toolkit submission
h. To ensure compliance with essential health & safety checks, risk assessments and reporting
i. Line management of Admin Team and Practice Support Assistant
j. Oversee the maintenance of all equipment and associated compliance
k. Hold weekly hassle huddle meetings with all non-clinical teams and act as a point of escalation for operational queries
l. Any additional administration assistance required by the Operations Manager
m. To be a trained Fire Warden
n. To be a trained Mental Health First Aider
o. Maintain a clean, tidy, effective working area at all times
p. Undertake all mandatory training and induction programmes
q.Attend a formal appraisal on an annual basis and participate in interim reviews to ensure objectives are achieved and relevant training is undertaken.
Secondary responsibilities :
a. Assist Operations Manager and wider Management Team with specific projects as required.
b. Support practice wide public health campaigns such as vaccination clinics.
c. To open or close the practice as per rota requirements.
