We are seeking a motivated and detail-oriented Operations Associate to join our dynamic team. This role involves supporting daily operational activities, managing data entry tasks, and providing excellent communication with clients and colleagues. You'll play a central role in keeping projects running smoothly by maintaining engineers schedules, logistics, stock, reporting, and communication. You'll work closely with project managers, engineers, and customers to ensure work is delivered safely, efficiently, and to a high standard.
Responsibilities
Perform accurate data entry to maintain up-to-date records and databases
Communicate effectively with clients and team members via phone, email, or in person, demonstrating excellent phone etiquette and communication skills
Scheduling and coordinating engineers across multiple projects
Producing and maintaining project reports, trackers, and documentation
Supporting Health & Safety compliance, including RAMS, permits, inductions, and training records
Arranging hotel bookings and travel logistics for engineering teams
Acting as a key point of contact for customers on scheduling, access, and coordination matters
Liaising with internal teams, engineers, and external stakeholders
Identifying and escalating scheduling, safety, or delivery risks where appropriate
Handle customer inquiries professionally, ensuring high levels of customer satisfaction
Contribute to maintaining organised workflows and documentation for operational processes
Qualifications
Proven experience in administrative support roles is preferred
Strong communication skills, both verbal and written, with a focus on professionalism and clarity
Exceptional phone etiquette and customer service skills
Organised with the ability to prioritise tasks efficiently
A proactive attitude with a keen eye for detail and problem-solving capabilities
