Role Summary



The Operations & Systems Executive (OSE) plays a critical role in maintaining the integrity, performance, and reliability of Buyline's operational systems. This role supports with the the end-to-end onboarding of new Business Partners and ensures high-quality data across CRM/LMS platforms.

The OSE will support with system configuration, service provider engagement processes, and operational workflows that keep the business functioning smoothly day to day. Working with Compliance, Risk, Business Development, Partner Success, and Finance, you ensure efficient processes and excellent user experiences.

Key Responsibilities



1. Business Partner System Onboarding

Support with the onboarding process for new Business Partners once Compliance and Risk have completed their approval, ensuring that Supplier Agreements are created and issued. Configure new Business Partners within CRM/LMS platforms and ensure accurate setup of all system parameters. Validate and ensure accuracy data and alignment with internal configuration standards. Set up system permissions, commercial terms, products, and integration elements (API, portal access, etc). Act as the primary contact for all onboarding status updates
2. Technical Operations & Data Integrity

Maintain data quality and integrity across multiple LMS and CRM platforms. Manage user access, permissions, and role-based security structures across systems. Monitor system performance and coordinate with internal IT or external Service Providers to resolve issues. Support system upgrades, platform migrations, and integration projects, including data mapping, testing, and sign-off. Produce and maintain operational procedures and process maps / workflows
3. Service Provider Management

Support with the full lifecycle of Buyline's Service Provider from research through to implementation and ongoing oversight.

Responsibilities include:

Researching, evaluating, and proposing new Service Providers. Completing due diligence, cost negotiation, and contract review. Integrating new providers into Buyline's operational workflows and systems. Managing 40+ active Service Providers across critical functions. Support with annual reviews, contract renegotiations, and issue escalation. Ensuring all services deliver against SLAs and operational requirements
4. Continuous Improvement & Change Delivery:

Identify automation opportunities and system efficiency gains across operational workflows. Gather feedback from users to enhance the usability of CRM/LMS platforms. Support with change and testing of UAT system enhancements and new feature deployments.
5. Communications:

Be the point of contact for the Operations Team. Discuss any concerns raised internally or external parties to agree on positive resolutions and escalate to the Chief Operating Officer where appropriate. Communicates clearly and articulately both verbally and in all forms of written communication including email. Reaches out to peers and co-operates to establish a collaborative working relationship. Does what is right, not just what is politically expedient. Speaks plainly and truthfully.
6. Teamwork:

Support other team members with the sharing of successful experiences, along with those that did not go so well.

Required



Experience in operations, systems administration, or onboarding. Strong understanding of CRM/LMS platforms, data structures, and workflow automation. Excellent analytical and technical problem-solving skills. High attention to detail and strong commitment to data integrity. Strong communication skills, able to explain system logic to non-technical users. Highly numerate with strong Excel/technical proficiency. Proven ability to manage multiple tasks in a fast-paced environment. Methodical, organised, and process-driven. Curious and proactive with a strong continuous improvement mindset. Able to work independently and cross-functionally. Positive, resilient, and able to manage pressure and changing priorities.

Desirable



Experience in SaaS operations, e-commerce, or API-based integrations. Exposure to consumer credit, financial services, or regulated environments. Prior involvement in system migrations or multi-platform data management.
