Salary 30,000 pro rata (16,800 p/a based on 21 hours p/w)

What we're looking for

We're looking for an Operations/Executive Assistant to ensure smooth agency operations by providing dedicated executive support to senior leadership and leading studio workflow and office management. This role blends strategic thinking with hands-on coordination, making it ideal for someone who thrives in a creative environment and enjoys bringing structure, clarity, and efficiency to fast-paced teams. You'll support the Managing Director with high-level EA duties including diary and inbox management, meeting coordination, and internal comms whilst also working across departments to streamline processes, manage studio resourcing, and ensure the office runs smoothly to support the delivery of high-quality work.

Ideally you'll have:

Experience in a similar operation, studio management, or EA/PA role within a creative, marketing, or media environment Strong organisational skills with the ability to manage multiple priorities, schedules, and deadlines efficiently. Excellent communication and interpersonal skills, both written and verbal, with confidence in liaising with stakeholders at all levels. Proven ability to support senior management, including diary and inbox management, meeting coordination, and minute-taking. A track record of improving processes, managing workflow, or introducing efficiencies across teams. Attention to detail and a proactive approach to maintaining quality standards across deliverables. Experience supporting business development activities, such as coordinating pitches, proposals, or identifying opportunities to help grow the agency Office management experience, including facilities oversight, supplier liaison, and inventory management. A team player mindset with a can-do attitude and willingness to support wider team wellbeing and culture initiatives. Tech-savvy and comfortable using digital tools for communication, collaboration, and scheduling (e.g., Microsoft Office, Teams, project management software, etc.). Discretion and professionalism, particularly when working with senior leaders and confidential information.
What you'll do

This is a proactive, hands-on role for someone who enjoys bringing structure and clarity to creative environments. As Operations/Executive Assistant, you'll balance executive support with operational oversight, playing a vital role in ensuring FOUR Agency delivers outstanding work through smart systems, streamlined processes, and a well-supported team.

Roles and responsibilities include:

Executive Assistant duties for the senior management team, including diary and email management. Act as gatekeeper and support on priorities, follow-ups, and internal communication. Lead on studio resourcing and scheduling, ensuring projects are appropriately staffed and deadlines are met. Oversee daily office operations, including supplies, facilities, and liaising with external suppliers and contractors. Maintain and improve internal systems and processes to drive efficiency across teams. Support business development activities, including helping to prepare pitch documents, proposals, and presentations. Monitor project workflows and flag capacity or delivery issues proactively to the relevant teams Ensure confidential information is handled with professionalism and discretion at all times. Use digital tools and platforms to streamline scheduling, communication, and project tracking Arrange team social events and lead on employee wellbeing initiatives
