We are seeking a detail-oriented and customer-focused
Optical Assistant
to join our Head Office team. This role plays a vital part in supporting the smooth operation of our optical services across the business, with a focus on administrative coordination, customer liaison, and professional support to our clinical teams.
Key Responsibilities
Act as a central point of contact for optical-related queries from customers, and internal departments.
Support the dispensing process by assisting with prescription verification, order processing, and supplier communication.
Liaise with optical laboratories and suppliers to ensure timely and accurate fulfilment of lens and frame orders.
Handle customer service inquiries via phone, email, or internal ticketing systems, ensuring prompt resolution.
Maintain accurate records of patient and order information in compliance with GDPR and company policy.
Provide administrative support to the professional services team, including scheduling clinics, training sessions, and processing documentation.
Assist with product inventory management, including monitoring stock levels and coordinating logistics for optical products.
Contribute to continuous improvement of optical processes, systems, and customer service standards.
Collaborate with IT, marketing, finance, and clinical governance teams to support cross-functional initiatives.
Key Skills & Attributes
Strong understanding of optical products and services (e.g., lenses, frames, prescriptions).
Excellent communication and interpersonal skills.
Proficient in using office software (e.g., MS Office, CRM or EHR systems).
High attention to detail and ability to multitask in a fast-paced environment.
Customer-first mindset and problem-solving approach.
Ability to work both independently and as part of a collaborative team.
Preferred Qualifications & Experience
Previous experience in an optical assistant, dispensing optician, or optical customer service role.
Experience in a head office, support centre, or multi-site business environment is advantageous.
Familiarity with optical supply chains, lab ordering systems, or clinical scheduling platforms is a plus.
