The Role
As an Order Processing Specialist, you will be responsible for managing and coordinating customer orders from receipt through to production, ensuring accuracy, efficiency, and excellent customer service. Working closely with internal departments, including production, logistics, and sales, you will ensure that all orders are processed correctly and on time, contributing to the smooth operation of our manufacturing processes. Your role will be critical in maintaining high levels of customer satisfaction and operational efficiency at Clayton Glass.
Key Responsibilities
Order Management & Accuracy
Process customer orders efficiently, ensuring all details are accurate and compliant with production specifications.
Validate order details, liaising with customers to confirm specifications, resolve queries, and provide updates on order progress.
Maintain accurate order records and ensure all amendments are correctly documented in internal systems.
Customer Communication & Coordination
Act as a key point of contact for customers regarding order processing, lead times, and delivery schedules.
Work closely with the sales and production teams to ensure customer requirements are met effectively.
Communicate any order discrepancies, delays, or changes proactively to customers and internal stakeholders.
Production & Logistics Support
Collaborate with production and logistics teams to prioritise orders based on customer deadlines and operational capacity.
Monitor order progress and proactively identify potential bottlenecks or delays in manufacturing and dispatch.
Ensure production teams have accurate and timely order information to maintain efficiency.
Continuous Improvement & Compliance
Identify opportunities to improve order processing efficiency and contribute to process enhancement initiatives.
Support data accuracy and reporting within order management systems.
Ensure compliance with company policies and quality standards when processing customer orders.

Essential Criteria
1-2 years of relevant work experience in an order processing, sales administration, or customer service role
Educational Background: (Scottish equivalencies: National 5 or SVQ qualifications) GCSE or NVQ qualifications
Proficiency in IT systems (Microsoft Office Excel, Outlook, Word).
Strong attention to detail and accuracy in data entry and order management.
Excellent communication and interpersonal skills to liaise effectively with customers and internal teams.
Ability to work efficiently in a fast-paced environment, managing multiple orders and deadlines.
Strong problem-solving skills with the ability to troubleshoot order discrepancies and resolve issues effectively.
Desirable Criteria
Knowledge of supply chain processes and production planning.
Familiarity with CRM systems and order processing software is beneficial.
Full UK Driving Licence.

Location: Clayton Glass, Marshwood Close, Canterbury, CT1 1DX
Working Hours / Shift Pattern: 39 hours per week
Monday - Friday, 08:30 - 17:00 (finishing at 16:00 on Fridays).
Salary: 12.21 per hour
