To assist the Headteacher and Senior Leadership Team (SLT) in the smooth administration of the Senior school
To develop and oversee data management across the three sites (Prep, Senior, Sixth Form)
To act as a Personal Assistant to the Head of Senior School, including full and confidential secretarial and administrative duties
To act as an ambassador for both the school and the Headteacher
Key Responsibilities
Administration, for Senior site, of daily staff cover, including recording staff absences and organising relevant cover for these absences, organising Return to Work meetings; checking LOA, training and educational visit requests; producing staff absence reports; overseeing the creation and distribution of termly school reports; other administrative tasks, as required
Managing data on the school's MIS system across all sites of the School (Prep, Senior, Sixth Form)
Working with the Heads and PAs of all sites of the School (Prep, Senior, Sixth Form) to produce and manage the academic timetable
Organising and maintaining the Headteacher's electronic diary and whole-school calendars
Managing incoming and outgoing communication to the Headteacher (emails, telephone calls, post etc) and triaging such communications for action
Taking minutes for meetings and briefings
Organise meeting agendas, venues and refreshments for internal meetings, coordinate attendance and circulate papers
Manage Headteacher's awards, special events, presentations and ceremonies
Overseeing and coordinating arrangements for staff appointments, in accordance with recruitment procedures
Working with the Admissions team on administrative matters relating to pupil admissions and maintaining accurate pupil records on the school's database
Maintaining an archive system for staff and the school office
Manage census returns to Department of Education, Local Authorities and ISA
Supporting the Headteacher with all matters pertaining to ISI Inspection
Assisting other administrative staff during busy periods
Liaising, with tact and diplomacy, with other school staff and others outside the school, particularly parents and the local community
Being fully committed to the ongoing success of Burlington House School.
PERSON SPECIFICATION
Excellent interpersonal skills and the ability to communicate effectively and appropriately with governors, staff, parents, pupils, alumni and external bodies
Proven track record in successfully supporting a senior manager, preferably in a school environment
Well-developed written communication skills with high standards of literacy and numeracy together with excellent spelling and grammar
IT proficient and a confident user of / willing to learn Google Suite, timetabling software, and school MIS (training provided)
Fast and accurate typing
A close attention to detail and a conscientious approach with a commitment to excellence
A high degree of initiative and ability to prioritise work
The ability to handle sensitive and confidential matters with complete tact and discretion
A 'can do' attitude and a good sense of humour
Enjoy working as part of a team and using time management skills to good effect
