We're looking for an organised, proactive and friendly Professional Assistant to keep our Marketing & Communications team running at its best.

What you'll be doing




You'll be the go-to person for our leadership team, especially the Head of Marketing & Communications. From managing busy diaries and coordinating complex meetings to helping with events and creative projects, you'll play a key part in making sure everything runs smoothly.


Day-to-day, you'll:

Be the first point of contact

- act as the friendly and professional first impression for the Marketing & Communications team, welcoming visitors and handling initial enquiries with warmth and efficiency. You'll triage incoming requests and field them to the appropriate team members, helping to keep communication flowing smoothly.

Keep things organised

- manage complex diaries and inboxes, prioritise meetings and handle sensitive information with care and professionalism.

Coordinate meetings and travel

- book venues, catering, AV, and travel arrangements for internal and external meetings. You'll arrange complex meetings, taking ownership of meeting preparation and follow-up: drafting and distributing agendas, capturing minutes and actions, and ensuring follow-through.

Help things run smoothly

- coordinate Marketing & Communication's office logistics and maintain a productive and well-stocked workspace. Manage the onboarding of new joiners for team and financial processes including tracking of invoices and expenditure and processing of expenses. Creation of documents and reports, manage planners and templates and keep our systems and running smoothly.

Get involved

- hand-on, flexible, support for the whole team and its breath of activities from event logistics and attendance, updating our intranet and publishing web content, to assisting with filming and photography projects.

Look for ways to improve

- spot ways to simplify processes, improve workflows and explore smarter tools (including AI) to help the team stay efficient and focused.

What we're looking for




You'll bring:

Experience as a PA, EA or senior administrator supporting busy leaders or teams Brilliant organisational skills and calm under pressure Clear, confident communication with people at all levels A team first mindset with strong collaboration skills, approachability and ability to build trusted relationships. Great attention to detail and pride in getting things right A proactive, problem-solving mindset and a "can-do" attitude Adaptability and an enthusiasm for learning and embracing new challenges Strong Microsoft 365 skills, with curiosity for learning new digital tools Discretion, tact and good judgement

It'd be a bonus if you also have:

Experience supporting marketing, communications or events work Knowledge of the university, research, innovation or not-for-profit sectors Familiarity with tools like Dynamics 365, Power Platform, Copilot or project management software
