The PA will be the first point of contact in dealing with correspondence for the Co-CEO, ensuring efficient diary and inbox management, making travel arrangements, and assisting in planning team events and meetings.
The ideal candidate will be able to hit the ground running, in a fast-paced environment, with attention to detail whilst using their own initiative and working with complete discretion and confidentiality.
What you'll be doing...
Act as a first point of contact to the Co-CEO providing high level, confidential, administrative and project support services.
Work collaboratively as part of the wider LW Theatres team, particularly the Co-CEO's direct reports, the EA to our other Co-CEO and the Office Manager.
Act as the first point of contact for the Co-CEO, ensuring there's an effective flow of information to and from their teams and key contacts.
Manage and maintain the diary of the Co-CEO; arranging meetings and ensuring meeting requests are reviewed and prioritised appropriately.
Attend and take meeting minutes as required by the Co-CEO.
Manage the inbox of the Co-CEO, including prioritising and proactively responding to emails, whilst ensuring confidentiality at all times. Ensure that all relevant information is communicated speedily and accurately. Behave sensitively and with discretion where required.
Support the smooth and effective running of the Senior Leadership Team (SLT) meetings by:
+ Diarising the meetings and booking rooms and any required equipment
+ Collating and circulating agendas
+ Taking minutes and record action points, as appropriate Coordinate team away days, theatre visits or other company events as required.
Draft both internal and external correspondence on behalf of the Co-CEO, as required.
Ensure the claims for expenses for the Co-CEO are reconciled and submitted on a regular basis.
Ensure the Co-CEO is fully briefed for meetings and made aware of actions required in good time.
Organise client events, invite RSVPs and business gifts as required.
Coordinate holiday requests, approvals and tracking within the Co-CEO's direct reports.
Take initiative and find areas where assistance is needed in supporting the work of the Co-CEO.
Coordinate travel plans (including international) and itineraries as required.
Provide administrative support on projects as required by the Co-CEO.
Support as cover for reception when our Receptionist is on lunch or on leave (as directed by the Operations Coordinator / Office Manager).
Work closely with the EA to the Co-CEO and MD, LW Tickets on various projects and work assigned as applicable.
What we need...
Excellent communication skills
Significant and recent previous experience in a PA, coordinator or administrative role supporting at a senior level
Experienced in collating and reviewing meeting packs and minuting meetings
A self-starter with a strong sense of responsibility who can work in a dynamic, fast paced environment whilst managing a busy workload with minimal supervision
Ability to work efficiently under pressure, be resourceful and have creative problem solving skills
Excellent organisational skills and attention to detail
Proficient in the use of Microsoft Office applications, including Outlook, Word, PowerPoint, Excel, and ability to learn other systems easily
Be flexible and adaptable. Able to react to changing priorities and unexpected hurdles/challenges as they arise.
Be able to demonstrate proven experience in prioritising deliverables and planning workload
Highly resourceful and positive, with a "can do" attitude
A calm and unflappable approach
Experience in live entertainment is preferable but not essential
Creative approach to building presentation materials
