We produce imaginative music, record in the top studios around the world and form creative partnerships that add depth and individuality to our catalogue, each with its own unique style and heritage. From our own world renowned in-house labels through to partnership labels and a large offering of themed playlists, we are dedicated to help our clients create emotional and memorable audio visual experiences no matter what type of production they are working on.

We are currently looking for a PA to provide admin and project support for the President, Universal Production Music.

The B Side: Skills & Experience

Be Organised

  • Organising complex and multi time-zone diary management, including arranging frequent international business travel, meetings and conference calls
  • Acting as the first port of call for all calls, emails and diary requests relating to the President
  • Putting together presentations and documents relating to the department\xe2\x80\x99s artists and repertoire
  • Preparing detailed travel and movement itineraries
  • Arranging and preparing for individual and departmental meetings and audio-visual conference calls
  • Processing invoices & expenses
  • Organising departmental events
  • Organising personal arrangements as required
  • All other reasonable duties as requested
Be Collaborative
  • Disseminating communications to the department and wider global business as quickly as possible where required
  • Liaising with people at all levels across the international business and externally
  • Supporting the wider department when appropriate
  • Provide additional ad hoc PA support to senior leaders within UMPG as required
Person Specification

Necessary
  • Proven previous experience of working as a PA at senior executive level including aspects such as diary management (across international time zones) and international travel booking
  • Previous experience of dealing with senior members of an organisation (both internal and external)
  • Excellent IT skills, especially in PowerPoint, Keynote, Word & Excel (or similar)
  • Proven organisational skills - ability to prioritise multiple tasks
  • Proven experience of working in a pressured environment, and of remaining calm and focused under pressure
  • Proven experience of working under own initiative and as part of a team
  • Strong project management skills
  • Excellent written and verbal communication skills; pro-active in providing communication/updates to keep all parties informed of actions
  • Proactive approach to work, pre-empting problems before they occur
  • Excellent typing and audio skills
Desirable
  • Experience using Universal Music Group internal systems
  • Previous experience in a media/creative industry
