Job Description

Overview



We are looking for an organised, proactive, and highly reliable PA / Administrator to support the smooth running of our farming operations. This role combines administrative coordination, personal assistance & record-keeping implementation. The ideal candidate will be detail-focused, comfortable working in a rural/agricultural environment, and able to manage a variety of tasks with efficiency and discretion.

Key Responsibilities



Administrative & PA Duties



Manage diaries, appointments, and schedules for the Farm Manager. Handle all administrative correspondence, emails, and phone communication. Prepare documents such as farm reports, crop records, invoices, and contracts. Maintain accurate filing systems (digital and physical), including Red Tractor, and other assurance scheme documentation. Assist with financial admin: purchase orders, expense tracking, basic book -keeping support, and dealing with suppliers. Coordinate travel, meetings, and events as required (i.e Open farm Sunday) Support recruitment and personnel record keeping.

Farm Operations Support



Update and manage crop records. Assist with ordering supplies, machinery parts, and PPE. Liaise with our contract farms, agronomists, contractors, and regulatory bodies. Work with our external Health & Safety provider, assisting in the implementation, maintenance and record keeping. Support preparation for audits and inspections (e.g., Red Tractor, Health & Safety, Environmental).

Skills & Qualifications



Experience in a PA, administrative, or office management role (preferably within agriculture or a rural business). Strong knowledge of health & safety principles (training provided if needed). Excellent organisational and multitasking skills. Confident using Microsoft Office, farm management software, and digital record-keeping. Strong written and verbal communication skills. Ability to work independently and handle sensitive information with discretion. Full, clean UK driving licence (preferred).

Experience with agricultural compliance. Experience implementing Health & Safety Policies Financial knowledge , basic book keeping skills or experience with posting purchase invoices to a financial system
