The Role - Personal/Executive Assistant



We are looking to appoint an Personal/Executive Assistant to support the CEO and directors of the business with regard to a growing client base who use its transport law consultancy services. The successful candidate will work closely with CEO and the Executive Directors, the role involves:

Diary Management

- Liaise with the CEO's and Director's Personal Assistants to coordinate and manage her extensive commitments, ensuring seamless day-to-day operations.

Communication Management

- Speak with and respond to transport law consultancy clients, consultants, and third parties. Handle incoming phone calls and emails, ensuring timely and appropriate responses. Facilitate communication throughout the business to support smooth operations.

Casework Support

- Assist the CEO with complex casework and complex clients.

Preparation of Briefing Papers

- Ensure the CEO is fully briefed with all required documents for Public Inquiries, Preliminary Hearings, meetings, and events.

Upwards Managing

- Proactively support the CEO and Directors by anticipating needs, identifying potential issues early, follow up on outstanding actions, priorities, and reminders for upcoming deadlines.

Time Management & Recording

- Ensure accurate and timely recording of all client-related work for the CEO and other fee earners.

Email Management

- Organise and manage the CEO's email inbox, prioritising messages and responding or delegating as necessary.

Minute Taking

- Attend Teams meetings with the CEO, Directors and fee earners, taking accurate minutes, including discussions, decisions, and actions.

First Port of Call

- Act as the first point of contact for transport law consultancy clients and manage access to the CEO to ensure her time is used efficiently.

Filing Systems

- Maintain effective email and paper filing systems to ensure easy retrieval of information.

General Administrative Support

- Provide comprehensive administrative assistance to the CEO, Directors and management team.

Travel Coordination

- Arrange travel, accommodation, and itineraries.

Document Preparation

- Prepare documents, reports, and correspondence as required.

Office Support

- Ensure proper management, recording, and filing of all correspondence in line with office protocols. Maintain a tidy workspace and make refreshments when necessary.

Requirements

Experience

- Significant PA or EA experience at a senior level.

Microsoft Office Skills

- Strong proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.

Typing Skills

- Fast and accurate typing ability.

Communication

- Professional and confident telephone manner, with strong verbal and written communication skills.

You will be required to attend the office in Chorley.
