The Role
We are looking for a sharp, detail-oriented Paralegal to join our small but growing in-house legal team. This is an exciting opportunity to work at the heart of a fast-paced AI hardware company, supporting a wide variety of legal work across commercial contracts, IP, regulatory matters, and corporate governance. You'll be involved in everything from contract reviews and filings to helping build the legal function from the ground up. The ideal candidate is highly organised, eager to learn, and ready to take ownership in a dynamic, high-trust environment.
Key Responsibilities
Corporate & Commercial Legal
Draft, review and finalise NDAs, consultancy agreements, supply contracts and software licences under the supervision of the Director of Legal.
Prepare board and shareholder resolutions, and support routine corporate governance tasks.
Manage execution and signature processes via DocuSign and ensure accurate document storage and version control.
Equity & Cap Table Management
Prepare and issue option grant documentation (EMI and non-EMI).
Process option exercises and maintain accurate equity records.
Manage the company's cap table on Carta, including updates following fundraising or option activity.
Employment & Contractor Support
Draft and issue employment and consultancy contracts, coordinating signatures and record-keeping with the People and Finance teams.
Support the Finance team with payroll administration and employee benefit tracking and paperwork.
Companies House & Statutory Filings
File statutory forms and updates at Companies House.
Build and manage a forward-looking calendar of filing deadlines and key governance events.
Legal Document Management
Maintain and organise the company's legal drive, ensuring systematic filing of all legal documents (NDAs, board minutes, resolutions, agreements, etc.).
Keep a live register of all NDAs and material contracts, including counterparty details, purpose and key terms.
Operational Legal Projects
Support cross-functional legal and operational initiatives (e.g. procurement, insurance, onboarding, due diligence).
Create and maintain internal templates, process notes, FAQs and how-to guides.
Legal Function Set-Up & Enablement
Assist in building legal infrastructure from scratch, including document templates, contract approval workflows and internal playbooks.
Set up and manage legal knowledge systems (e.g. FAQs, intake forms, template libraries).
Help implement filing systems, naming conventions and permissions within the legal drive.
Maintain investor and due diligence folders for future financing or grant applications.
Liaise with the Director of Legal to roll out scalable legal processes across Flux.
IP & Innovation Management
Support the administration of Flux's intellectual property portfolio, including liaising with external patent counsel and filing documentation.
Maintain accurate internal records of filed patents, invention disclosures and associated timelines.
Assist with the annual review and administration of incentive bonuses for IP creators.
Key Skills & Experience
Prior experience in a legal or operational support role, ideally within a fast-paced or high-growth environment.
Understanding of English contract law and corporate legal processes.
Excellent organisational skills and attention to detail; able to manage multiple parallel workflows and track deadlines.
Proactive and self-sufficient, with good judgment on when to escalate or seek input.
Confident written communicator with the ability to draft simple legal documents and clear process notes.
Proficiency with tools like Google Workspace, DocuSign, shared drives, and ideally Carta.
Comfortable using AI tools (e.g. ChatGPT, Wordsmith) to improve efficiency and automate repeatable tasks.
Genuine interest in developing legal skills -- legal training and supervision will be provided by the Director of Legal.
Desirable
Familiarity with UK company secretarial requirements and Companies House filings.
Legal qualification (LPC, SQE1, CILEX or equivalent) is helpful but not required.
