About the role:



We are seeking a highly organised and customer-focused Systems Administrator to join our Systems Division at ProFM Group. Our division specialises in delivering Security Systems to clients across the UK, including CCTV, Access Control, and Alarm Systems. The successful candidate will play a key role in ensuring the smooth running of our operations by acting as the main administrative link between our clients, engineers, and internal teams. This role requires exceptional communication skills, strong attention to detail, and the ability to manage multiple tasks in a fast-paced environment.



Duties:



Act as the first point of contact for client enquiries via phone, email, and other channels.

Schedule engineers for installations, servicing, maintenance, and repairs.

Coordinate and track job progress, ensuring timely completion.

Arrange site visits, equipment orders, and any necessary logistics.

Maintain accurate records of appointments, works completed, and follow-up actions.

Work closely with the finance department to prepare job sheets, process invoices, and manage billing queries.

Update internal systems with relevant client and job information.

Provide regular updates to clients on job status and timelines.



Key Responsibilities:



Deliver excellent customer service by managing client communications promptly and professionally.

Ensure efficient scheduling of engineers to maximise productivity and meet client deadlines.

Liaise with engineers to confirm job details, requirements, and availability.

Coordinate with suppliers where required to order parts and equipment.

Maintain organised records to support compliance, reporting, and invoicing.

Assist in the preparation of service contracts, quotations, and project documentation.

Work collaboratively with internal departments to ensure smooth operational workflow.
