Job Description


HOURS: 22.5 hours per week, flexible between 08:30 - 17:30, Monday to Friday.

Holiday Entitlement: 5.6 weeks per annum and non-term time bank holidays.

Work Arrangements: Hybrid working options available and can be discussed during the interview.

We are thrilled to announce an exciting opportunity for a Finance Administrator to join the dedicated and friendly team, contributing to the smooth functioning of their financial processes and ensuring the continued success of the institution! You\'ll play a vital role in supporting the day-to-day financial operations of this esteemed institution.

You will have the opportunity to put your finance experience to great use by completing the following duties:

Sales Billing:

  • Raise sales invoices for the year, including interim runs and adjustments
  • Reconcile student intake with invoicing
  • Key receipts and update advance fees list
  • Create manual debtors list, splitting between payment dates at the beginning of the financial year
  • Perform daily banking activities
Credit Control:
  • Update manual debtors report for daily use
  • Reconcile manual debtors with Sims aged debtors daily
  • Chase overdue invoices
Refunding Fees and Deposits
  • Raise credit notes when applicable
  • Key advance fees and deposits to reflect accurate balances for refunds
  • Create and submit payment requests to head office
  • Follow up with students/families for required paperwork to facilitate end-of-year deposit refunds
  • Process supplier invoices - code, receive authorization, and submit to Head Office
  • Update budget and order Accounts Payable spreadsheets
  • Address and resolve supplier queries
Petty Cash
  • Maintain petty cash records
  • Reconcile the petty cash account
  • Apply to head office for additional funds as needed
Charities
  • Count and pay funds into the bank
  • Record the payments received
  • Make payments to relevant charities
General Administration
  • Assist in maintaining all school records and understanding safeguarding issues.
Checks and Training:

All staff are required to undergo the following training and security checks:
  • Enhanced DBS Checks to prove suitability for working with children.
  • At least two written and verbal references from previous employers to assess suitability.
  • Full employment history with any significant gaps explained and proof of relevant qualifications.
  • Level 2 Child Protection Training, Prevent Training, Equality and Diversity Training, and ongoing training as required.
