Our client are a growing business who are looking for a part time Office Administrator to support their busy office based in Thame. This role requires someone who has strong people skills who thrives within a busy working environment. The Office Administrator will be supporting key departments across all general administration duties. You will be working 24 hours per week in a fully office based position. Our client ideally would like someone to work 8:30am to 2:30pm Monday to Thursday but are flexible with this. The role provides an annual salary of \xc2\xa323,500 pro rata plus an annual discretionary bonus.

Main Responsibilities:

  • Co-ordinate visits from external suppliers, contractors and maintenance providers visiting the building, ensuring safe practice in line with company health and safety policy.
  • Manage the replenishment of stationery and office supplies.
  • First point of contact for repair and maintenance requirements within the building and escalate accordingly
  • Assist with maintaining a tracking system to determine needed repairs and maintenance to help prioritise tasks needing attention
  • Provide on-the-day support for visitors including signage, photocopying, AV set-up troubleshooting and room set up
  • Undertake weekly building checks
  • Assist with keeping asset management list up to date
  • Support the business with implementing the highest standard of health and safety within the business in line with legislation and company policy
  • Support the Facilities team with Risk Assessments, Fire Alarm Tests, replenishment of First Aid stock etc.
  • Attend health and safety meetings, taking and communicating minutes when required
  • Co-ordinate visits from external clients, greeting upon arrival, ensuring health and safety guidance is provided and organising refreshments and catering as when required
  • Manage travel and hotel bookings for the sales team and senior members of staff
  • Answer incoming calls and re-direct accordingly or ensure messages are taken and forwarded as when required
  • Manage the incoming post, distributing to relevant members of Support with outgoing post as when required
  • Provide support to the Internal Communications team with company social events and newsletters
  • Support with general administration on an ongoing basis ensuring an organised filing system for future reference
  • Provide ad-hoc administration support for both the HR Manager and General Manager as and when required
Skills Required:
  • Excellent communication skills both face to face and on the telephone

  • High standard of administration skills
  • Ability to multi task to ensure priority is given to specific demands
  • Basic standard of IT skills including Word and Excel
  • Ability to proactively reflect and make improvements as and when required
