Wise Owl Tutors are recruiting two part time receptionists for their site in the centre of Kidderminster.
We are looking for two dynamic and motivated individuals who can be the first friendly face that students see when they walk through the door; the receptionists are also responsible for the administration duties for this location and will need someone who loves variety in the work that they do. We want people who are outgoing, personable and who take pride in their work. The successful applicant will also be a great team player, who can work well with others and prioritise their workload.
The two roles are term time only, 39 weeks per year. One person will always work 9am - 1.30, and the other 1.30-6pm, with the opportunity for overtime to cover each others absences. These are not alternating shifts; but two different roles.
The roles have the same core responsibilities which are detailed below, and some tasks which are specific to either the morning or the afternoon receptionist, and these tasks are detailed further down the page.
Both receptionists
Front Desk Management:
Welcome visitors with a friendly and professional demeanour.
Responding to door entry systems and manage the sign in and out portal.
Answer and direct phone calls, emails, and enquiries in a timely manner.
Uphold Health and Safety regulations
Client Interaction:
Serve as the first point of contact for clients interested in educational services
Schedule and organise consultations and tours between clients and potential tutors or managers.
Administrative Support:
Manage and update client and tutor profiles on the system in accordance with GDPR, ensuring all records are accurate and up to date.
Assist with ongoing cases as directed
Coordinate with the team to manage any changes in schedules, ensuring all parties are promptly informed.
Collate information and news for newsletters and social media and pass on to marketing every month
Safeguarding:
Support all other members of staff as required - contacting the relevant people should the young person need to leave for any reason.
Ensure students only leave with the nominated pick-up persons (taxi/parent)
Other Duties:
Paediatric First Aid trained.
Fire Marshall duties.
Role specific
Morning Receptionist (9am - 1.30pm)
Case management
Request EHCP, upload, review and action as necessary.
Liaise with clients to understand their specific tutoring needs, including subject areas, availability, and goals; match them with the most suitable Tutor.
Liaise with Worcestershire County Council regarding ongoing cases.
Coordinate student planning under direction of Lead receptionist, from initial contact to starting lessons, including fact-finding, liaising with parents/tutors, organising paperwork and finance, booking consultations and timetabling.
Afternoon receptionist (1.30pm - 6pm)
Private Clients Co-ordination
Liaise with clients to understand their specific tutoring needs, including subject areas, availability, and goals. Match students with the most suitable Tutors.
Registering new students - from initial contact to starting lessons, including fact-finding, liaising with parents/tutors, organising paperwork and finance, booking consultations, creating electronic files and timetabling.
Requirements and Qualities:
Previous experience as a Receptionist or an Administrator
Experience working in a similar setting would be advantageous
Good standard of written communication
Ability to prioritise workload
Ability to work well in a team environment
Understanding of students needs
Remain calm under pressure and not afraid to ask for support if needed
Be willing to apply for an Enhanced DBS, as this role is student facing
Eligible to work in the UK
High level of integrity and professionalism
Salary Benefits:
Hourly Rate: 12.21 (10,714.28 for 22.5 hours per week, term time only. Term time only full time equivalent: 19,047.60), with possible increase after successful completion of probation period

Location: This role is based at the Kidderminster site, but you must be willing to travel by car or public transport to our Worcester site as well for training and occasional team meetings.
