THE POST
We are currently seeking a self-motivated, flexible, and experienced Receptionist to join our team from September 2025. This is an afternoon position, working as part of a wider reception team to ensure full coverage throughout the school day.
The successful candidate will provide a welcoming and professional first point of contact for students, parents, staff, and visitors. In addition to front-of-house duties, the Receptionist will support the school's administrative operations, contributing to the smooth and efficient running of the school.
HOURS OF WORK
12:30 to 17:30, Monday to Thursday, and 12:30 to 16:15, Friday, term-time only
JOB DESCRIPTION
Main Responsibilities and Tasks:
The Receptionist will be responsible for the following duties during term time:
Providing a helpful, courteous, and welcoming reception service for all students, staff, parents, and visitors.
Manning reception and acting as the first point of contact for all incoming queries via telephone, email, or in person.
Monitoring and responding to the reception email account promptly and appropriately.
Overseeing the GCAS registration processes, including following up on unauthorised absences.
Managing incoming post and parcel deliveries, ensuring timely distribution.
Using the school's Management Information System, Engage*, to record and retrieve relevant data.
Ensuring all staff, students, and visitors follow signing-in/out procedures and issuing visitor passes; arranging refreshments for visitors when necessary.
Maintaining confidentiality at all times regarding sensitive school matters.
Carrying out a range of administrative tasks to support the smooth day-to-day running of the school.
Ensuring the reception area and its displays are tidy, professional, and up-to-date.
Assisting with the coordination of school trips, including booking venues and transport.
Acting as a point of contact for daily school transport arrangements and liaising with minibus drivers.
Supporting first aid provision and liaising closely with the school nurse.
Taking the lead during fire drills and evacuations, ensuring visitor sign-in logs are given to the Designated Fire Marshal.
Assisting with arrangements for student vaccinations.
Completing student charge forms as required.
Engaging in ongoing professional development through the completion of online training.
Undertaking general office duties as directed.
ESSENTIAL CRITERIA

Previous experience in a school environment (desirable but not essential).
An enthusiastic approach to the role and ability to represent the school positively.
Ability to communicate the school's values and unique selling points (USPs) clearly and simply.
Smart and professional appearance.
Strong administrative skills: organised, efficient, and IT-competent.
Excellent interpersonal skills and the ability to work well with colleagues, including those from international backgrounds.
Discretion and sound judgement when handling confidential information.
Strong written and verbal communication skills, with confident presentation abilities.
High levels of motivation, energy, and resilience; able to work under pressure.
Integrity and independence, able to exercise good judgement within delegated authority.
A positive attitude, with a sense of humour and optimism in a busy work environment.
