Job Overview


We are seeking a highly organised and proactive Personal Assistant to provide Freelance comprehensive administrative support to our Managing Director. We are looking for a highly efficient, PA to handle the logistics and clear roadblocks. This is not a traditional desk job. It is a hybrid role that combines Junior Executive Assistance (admin, data) with Operational Support (logistics, prep, practical support). Your goal is to optimise time so the MD can focus on high-level work.

Duties may include



Managing and maintaining executive calendars, scheduling appointments, and coordinating meetings Handling incoming calls with professional phone etiquette and directing enquiries appropriately Organising travel arrangements, including booking flights, accommodation, and transportation Preparing and editing documents using Microsoft Office and Google Workspace applications Ensuring professional attire (shirts/suits) is ready, ironed and suitable for client meetings. Packing, resetting equipment bags for travel and daily schedules to ensure punctuality. Acting as an internal courier physically managing thing such as, Amazon returns, and local procurement errands in Hove and surrounding areas. Scanning and uploading receipts to accounting software (Dext), filing documentation, and sitting on hold with vendors/service providers Office Standards: Clearing the workspace of deliveries/packaging and resetting the home office environment for deep work. Performing data entry tasks accurately within QuickBooks and other relevant software programmes Managing correspondence via email, whatsapp and traditional mail, ensuring timely responses Assisting with administrative tasks such as filing, printing, and organising files Supporting the team with various clerical duties to ensure efficient office operations Maintaining confidentiality of sensitive information at all times
Who we would like to work with:

Adaptable & Service-Oriented:

Possess "no task too small" mindset. These can have a big impact. You can switch seamlessly from digital administration (filing reports, purchases) to manual executive support (shirt care, mailing, returns) to ensure high presentation standards.

Logistically Agile:

You are based locally in Brighton & Hove and can execute external ground support tasks (post office drops, procurement) efficiently on short notice.

Digitally Proficient:

You are competent with modern workflow tools (Google Workspace, WhatsApp for briefings) and can manage digital expense processing (scanning/uploading) with high accuracy.

Discretion & Integrity:

You are comfortable working within a private home office environment and understand the strict requirement for confidentiality regarding business data and internal affairs. (DBS check may be required)

A good telephone manner is essential


Qualifications



Office experience or administrative experience in a professional setting Strong computer skills Experience with QuickBooks or similar accounting software is desirable Excellent organisational skills with the ability to prioritise tasks effectively Good data entry skills and attention to detail

Job Type: Part-time

Pay: 14.90 per hour

Expected hours: 6 - 8 per week
