Job Description

Purpose of the Role



To provide dedicated administrative support to TensCare's QARA and Supply Chain functions, ensuring supplier compliance, accurate forecasting coordination and maintenance of QMS documentation. The role strengthens internal processes, supports audit readiness and facilitates collaboration between QARA, supply chain, sales and creative / design teams.

Key Responsibilities



Supplier Files and Compliance Management

Maintain up-to-date supplier files, including certifications, declarations and compliance records.

Track supplier approvals, renewals and follow up on missing or expiring documents.

Ensure all supplier records are filed correctly within the QMS and accessible for audits.

This will necessarily extend to other compliance related files around design risk management and others

Forecasting and Scheduling Coordination

Collect sales forecasts from the sales team and align them with SAP-generated forecast models.

Support SCMin reconciling demand forecasts with supplier production capacity and supplier coordination

Coordinate schedules to ensure timely delivery of products, escalating risks of shortages or delays.

QMS and Audit Administratio

Assist the QARA team in preparing documentation for internal audits and external inspections.

Maintain accurate QMS files related to supply chain and compliance activities.

Support documentation needs of product design and creative content teams, ensuring all outputs meet regulatory and quality requirements.

Cross-Functional Support

Act as a liaison between QARA, supply chain, product design and content teams.

Provide administrative support to ensure smooth flow of information and compliance documentation across departments.

Assist with record-keeping for change control, supplier quality issues and other QMS processes.

Skills & Experience Required



Experience in an administrative or coordinator role (ideally within supply chain, quality or compliance functions).

Familiarity with SAP (or similar ERP systems) is highly desirable.

Strong organisational skills with high attention to detail.

Understanding of QMS (ISO13485 or ISO9001) processes is advantageous but not essential (training provided).

Strong communication skills, able to liaise effectively across multiple teams and with suppliers.

Proficiency in Microsoft Office (Excel, Word, Outlook, Teams).
