Job Title: Pastoral Administrator (SEND Provision School)
Purpose of the Role:
To provide comprehensive administrative and pastoral support to the SEND team and the wider pastoral care team, ensuring efficient operation of pastoral systems, supporting students with special educational needs, and maintaining effective communication with parents, staff, and external agencies.
Key Responsibilities:
Administrative Support:
Provide general administrative assistance under Headteacher Supervision including typing letters, managing files, and handling correspondence.
Support the coordination and administrative processes related to SEND assessments, Education, Health and Care Plans (EHCPs), annual reviews, and provision mapping.
Maintain accurate student records on school systems.
Organise and circulate agendas, minutes, and documentation for SEND meetings, l team meetings, and external professional agencies.
Provide administrative support related to careers education, work experience, and SEND interventions.
Act as a point of contact for parents and external agencies regarding pastoral and SEND matters, managing telephone, email, and face-to-face enquiries professionally.
Systems and Computer Skills:
Demonstrate strong knowledge and competence in using school management software and databases.
Utilise Microsoft Office applications (Word, Excel, Outlook) efficiently for communication, record-keeping, and reporting tasks.
Monitor and manage systems for recording student progress, SEND provision, and interventions.
Assist with data entry and tracking for SEND provision maps, pupil progress reports, and other statutory documentation.
Maintain confidentiality and secure storage of sensitive information in compliance with data protection policies.
Person Specification:
Proven experience in school administration, preferably within SEND or pastoral contexts.
Good knowledge of SEND processes, terminology, and statutory requirements.
Strong ICT skills with experience using school systems and Microsoft Office.
Excellent organisational and communication skills.
Ability to work confidentially and with discretion.
Comfortable liaising with parents, external agencies, and school staff.
Willingness to undertake training in first aid or other pastoral care skills if required.
