We are expanding our private patient services and are looking for a confident, commercially-minded
Patient Coordinator (Treatment Coordinator)
to own conversion, follow-up and patient engagement.
This role is
sales-driven
, conversion-focused and vital to the growth of the practice. You will turn enquiries into booked appointments, ensure patients understand their treatment plans, and support them throughout their journey to increase uptake and improve satisfaction.
This is not a receptionist role. This is a
conversion, relationship and revenue-driving role

Role Purpose
To maximise patient conversion, ensure consistent follow-up, manage treatment discussions professionally, and act as the commercial engine of the practice's growth.
Key Responsibilities
Lead Handling & Sales Conversion
? Handle new patient enquiries across phone, email, Boxly and website
? Use structured scripts and alternate-close techniques to book new patient consultations
? Capture all details immediately, send follow-up info and secure deposits
? Track and improve enquiry-to-booking conversion
? Use WhatsApp and email templates to nurture leads (e.g. Invisalign info, whitening info)
Treatment Coordination
? Explain treatment plans clearly and confidently
? Support patients through clinical, financial and practical questions
? Present whitening offers and new-patient promotions confidently
? Help patients choose next appointment steps
? Ensure treatment plans are fully understood and accepted
Follow-Up & Pipeline Management
? Own Boxly lead management:
? Track denplan conversations
? Monitor who has been sent info
? Follow up on open courses of treatment? Manage lapsed patients
? Follow up cancellations
? Maintain a clear, organised system for all patient follow-ups
Diary & Revenue Support
? Work closely with clinicians to structure treatment plan appointments
? Fill priority slots (e.g. NPA, hygiene, whitening)
? Ensure whitening uptake and new patient assessments are maximised
