Job Overview


We are seeking a detail-oriented and experienced Payroll Officer to join our finance team. The successful candidate will be responsible for managing the payroll process, ensuring accuracy and compliance with relevant regulations. This role requires a strong understanding of human resources and accounting principles, as well as proficiency in payroll software systems. The Payroll Officer will play a crucial role in maintaining employee satisfaction through timely and accurate payroll processing.

Duties



Process payroll for all employees, ensuring accuracy in calculations and adherence to deadlines. Maintain employee records related to payroll, including hours worked, deductions, and benefits. Collaborate with the human resources department to ensure accurate data entry into HRIS systems such as PeopleSoft or Workday. Prepare and submit necessary reports related to payroll, taxes, and compliance. Assist with accounts payable functions as needed, ensuring seamless financial operations. Manage CIS returns, verifying subcontractors, processing CIS deductions, and submitting monthly returns to HMRC. Analyse payroll data to identify discrepancies or trends that require attention. Utilise accounting software such as QuickBooks to manage financial records effectively. Respond to employee inquiries regarding payroll-related matters in a professional manner.

Experience


The ideal candidate will possess the following skills and experience:

Proven experience in payroll processing and administration within a similar role. Strong knowledge of human resources practices and principles. Must have experience in dealing with CIS contractor related pay matters. Familiarity with accounts payable processes is advantageous. Proficiency in using accounting software, particularly QuickBooks, PeopleSoft, or Workday. Excellent data entry skills with a high level of accuracy and attention to detail. Ability to analyse financial data effectively and provide insights for improvement. Strong organisational skills with the ability to manage multiple tasks efficiently. Candidates should be proactive problem solvers who can work independently while also being effective team players. Proficiency in MS Excel, MS Outlook, and general IT systems. Reconcile CIS payments and statements, ensuring full compliance.

Software Utilisation:



Use Qtac payroll software to process payroll runs and generate reports. While experience with Qtac is ideal, training can be provided for the right candidate with strong payroll knowledge.

Client & Stakeholder Support:



Respond to employee and client queries regarding payroll matters in a timely and professional manner. Maintain strong working relationships with internal departments and external clients.

Compliance & Record-Keeping:



Ensure adherence to GDPR, payroll legislation, and internal controls. Maintain accurate employee records including PAYE, NI, pensions and auto-enrolment.

Reporting & Analysis:



Prepare payroll reports, payslips, P45s, P60s, and end-of-year summaries. Assist in reconciling payroll journals for accounting purposes.

Process Improvement:



Identify opportunities to enhance payroll processes and improve efficiency within the department.

Administrative Support:



General payroll admin duties, including timesheet processing, document management, and data entry.

Ideal Experience:



Demonstrable experience in a payroll-focused role (practice or in-house). Experience managing CIS processes is essential. Familiarity with payroll software (Qtac / Capium highly desirable, however use of some payroll system essential though).

Essential Skills & Competencies:



Strong understanding of UK payroll legislation and HMRC requirements. Knowledge of auto-enrolment, pension contributions, and statutory deductions. Excellent numerical and analytical skills with a high level of accuracy. Proficiency in MS Excel, MS Outlook, and general IT systems. Strong organisational skills and the ability to prioritise workloads under tight deadlines. A proactive and solution-focused approach to problem-solving. Excellent interpersonal and communication skills.
