About the Role
We are seeking an experienced and detail-oriented Payroll Manager to oversee and manage the
end-to-end
payroll function for our organisation, which is fast growing. This is a key role within our business, ensuring that all employees are paid accurately and on time, in full compliance with UK legislation and internal policies.
Currently, we operate five payrolls across 12 sites with varying payroll dates throughout the month, managed by an external provider. We are now transitioning to an in-house payroll system and are looking for someone with the expertise to lead this project and onboard additional payrolls as we continue to grow through acquisitions. This role will evolve into managing a dedicated payroll department, including future payroll assistants.
Key Responsibilities
Manage the full payroll cycle across all group sites, including starters, leavers, and contractual changes
Ensure compliance with HMRC regulations, including RTI submissions, PAYE, NI, and statutory payments (SSP, SMP, SPP)
Liaise with our current payroll provider to produce and submit payroll reports for BACS payments during the transition period
Administer pension contributions and auto-enrolment processes in line with The Pensions Regulator requirements
Collaborate with HR and Finance to ensure accurate data flow and reporting
Maintain and update payroll systems and employee records
Resolve payroll reconciliation queries with the Finance team
Manage year-end processes including P60s, P11Ds, and PSA submissions
Respond to employee queries regarding pay, tax, and benefits
Stay up to date with changes in payroll legislation and best practices
Support audits and ensure data integrity and confidentiality
Knowledge and Experience
Essential Knowledge:
UK payroll legislation, including PAYE, NI, RTI, and statutory payments
Pension regulations and auto-enrolment
HMRC compliance, coding notices, and year-end reporting
Basic employment law (contracts, working hours, holiday pay)
GDPR and data protection in payroll
Essential Experience:
Proven experience managing multiple payrolls per month
Strong working knowledge of UK payroll systems and legislation
This role would suit someone with:
Experience working in a payroll bureau or recruitment company where multiple channels/payrolls are managed
Skills and Attributes
High attention to detail and accuracy
Strong numerical and analytical skills
Proficiency in payroll software (e.g., Xero) and Microsoft Excel
Clear and professional communication skills
Effective time management and ability to meet strict deadlines
Discretion and confidentiality when handling sensitive data
Problem-solving and troubleshooting ability
Qualifications (Desirable)
CIPP (Chartered Institute of Payroll Professionals) - Foundation or Practitioner level
AAT or similar finance/accounting qualification
Experience using Xero
