Job Summary
Following the business growth to three Garden Centre sites, we are seeking a high-level professional to take responsibility in undertaking and managing the end-to-end payroll processes for our monthly payrolls in each entity, currently consisting of circa 300 employees with imminent headcount growth in line with the increased capacity at our new build site currently under construction.
The primary focus will be on ensuring accurate and timely payroll processing, compliance with statutory regulations, and leading on system and process development. This role requires a strong understanding of UK payroll legislation, attention to detail, and the ability to handle complex payroll scenarios.
You will report to the Financial Controller for strategic support and guidance while predominantly working in a standalone role which you will be able to make your own. You will play a key role in maintaining payroll accuracy and providing exceptional service to our employees, being the in-house payroll expert.

Key Responsibilities
Manage the end-to-end payroll process for employees, ensuring accuracy and timeliness of payments.
Calculate and process statutory deductions, including income tax, National Insurance contributions, and pension contributions.
Stay updated with UK payroll legislation and compliance requirements, ensuring adherence to all relevant regulations, and communicate updates to relevant stakeholders.
Setup, calculation and processing of sickness/maternity/paternity/adoption/neonatal/attachment of earnings and any other financial amendments to pay, supporting the process where needed.
Administration of employee pension schemes, including enrolment, contributions, returns, and liaison with pension providers.
Manage and process the changes to payroll records as received from HR source data, to ensure that all staff members are remunerated in accordance with their work contracts.
Review and validate payroll inputs, including salaries, benefits, allowances, and deductions.
Ensure all tasks for the monthly payroll are on schedule and completed on time.
Collaborate with HR and Finance teams to ensure accurate employee data management and seamless payroll integration, improving process and information flow.
Ensure payroll data via the HR and Time & Attendance system is synchronised into the payroll system accurately in readiness for pay runs.
Validate the payroll output from the HR and Time & Attendance system and deal with any errors that occur, further understanding the cause and take any action needed for system or process changes.
Process and validate all manual payroll adjustments in line with the approval process, ensuring exceptions are appropriately validated and approved.
Reconciliation and verification of various reports before the payroll is updated and closed to ensure that employees are paid correctly.
Provide guidance and support, resolving complex payroll-related issues and queries.
Manage and maintain up-to-date knowledge of payroll-related policies, procedures and terms and conditions for the payroll staff.
Complete year-end payroll processes, including the production of annual P60s and if applicable P11D forms.
Prepare and distribute employee payslips, P45s, and other statutory payroll documents and HMRC returns.
Professionally and promptly handle payroll-related inquiries from employees, addressing concerns and providing accurate information.
Manage out of cycle payments, ensuring all payments are fully recovered as soon as possible.
Identify, process and recover any overpayments or pay corrections, providing regular updates to management.
Support with reconciliation of payroll related payments and balance sheet accounts, resolving any discrepancies or errors.
Liaise with external auditors and government agencies for payroll-related audits and compliance checks.
Conduct periodic payroll audits to ensure data accuracy and compliance with internal policies and external regulations.
Provide KPI reporting to the leadership/senior team as requested.
Seek to find improvements to process and service, and supporting implementation of improvements
Lead in the evaluation and implementation of payroll system upgrades, enhancements or system reviews, ensuring a seamless service.
Provide payroll inductions/training to new and existing staff as required.
Support the payroll requirements of acquisitions, mergers and integrations.
Carry out ad hoc projects as required in support of the leadership team, including pay reviews.

Key capabilities
Proven experience within a senior payroll role, with a focus on UK payroll.
In-depth knowledge of UK payroll processes, tax regulations, and compliance requirements.
Strong understanding of statutory deductions, including income tax, National Insurance contributions, and pension contributions.
Familiarity with pension scheme administration and compliance requirements.
Excellent attention to detail and accuracy in processing complex payroll scenarios.
Proficiency in using payroll software or systems for end-to-end payroll processing.
Strong analytical and problem-solving skills to handle complex payroll calculations and reconciliations.
Produce information and accurate reports, with the ability to present information
Understand fundamental payroll technical matters, demonstrate logic and excellent problem solving skills.
Excellent organizational and time management skills to handle multiple payrolls within deadlines.
Strong communication and interpersonal skills to effectively address employee inquiries and concerns related to payroll.
Understanding of data protection regulations and confidentiality requirements in handling employee information.
Proficient in using MS Office applications, particularly advanced Excel skills, for data analysis and reporting.
Understanding of system set ups. Experience integrating and developing payroll systems and process
Ability to work autonomously and maintain ongoing areas of responsibility. With a natural curiosity and a forward-thinking approach which helps pre-empt and plan for periods of change where additional work may be required.
Ability to work collaboratively in a team environment, building trust with a consistent approach between actions and words.
