About us

------------

UCL is London's Global University--home to a diverse community of world-leading academics, professional services experts and students. As part of our ongoing commitment to delivering sector-leading professional services, the Professional Services (PS) Hub brings together key customer-facing and transactional functions across HR, Finance, Research, Estates, IT and Business Operations.

The PS Hub is focused on high-quality, efficient service delivery with a strong emphasis on customer experience, consistency and continuous improvement. We work collaboratively across UCL to provide shared services that support our academic mission and enable colleagues to deliver excellence in teaching, research and student experience.

You will be joining a community that values innovation, inclusivity and professional growth--underpinned by the UCL Ways of Working.

About the role

------------------

Please note this is a fixed-term role until May 2027.

This is an exciting opportunity to join our Payroll Service Improvement Programme as a Project Support Officer, where you will play a key role in supporting the delivery of a major strategic initiative. Reporting to the Programme Manager, you will work closely with project leads, subject matter experts and wider stakeholders to ensure the programme is delivered effectively and on schedule.

You will maintain project documentation, keep Planview project plans up to date, manage RAID logs, coordinate weekly meetings with SMEs, support governance activities and assist with business case preparation. You'll also support programme-level communications, help organise workshops and governance meetings, and ensure actions, decisions and documentation are clearly captured and distributed.

This role is ideal for an organised, proactive individual who is either experienced in project or programme administration, or looking to develop a career in change, transformation or business improvement. You'll gain hands-on experience in a high-profile programme, working in a supportive environment with opportunities to build skills that will serve you across UCL and beyond.

About you

-------------

You will bring experience supporting complex projects or programmes within a large organisation, with the ability to coordinate multiple activities simultaneously and maintain a high level of accuracy and organisation. You have a good understanding of project planning principles, including how to capture risks, assumptions, issues and dependencies, as well as confident working knowledge of Microsoft Office and project management tools such as Planview.

You are an effective communicator--capable of drafting clear, concise reports, minutes and correspondence, and comfortable working with colleagues at all levels. Highly collaborative, you are proactive, adaptable and able to use sound judgement when handling sensitive or confidential information.

Above all, you take pride in delivering high-quality work, planning effectively, and contributing positively to a team culture built around trust, accountability and shared success.
