We are seeking a highly organised and detail-oriented Administrator to join our team. This role is essential in supporting daily office operations, ensuring smooth communication, and maintaining accurate records. Duties
Manage incoming calls and correspondence, demonstrating exceptional professional phone and communication etiquette
Liaise with New Business and technical teams to ensure application information is accurate and complete
Establish new pension schemes in a timely and accurate manner
Maintain, update, and record client data and transactions across internal systems
Open and operate client assets in line with procedures
Correspond with clients, IFAs, and Investment Managers to deliver a prompt, professional, and high-quality service
Process benefit crystallisation events, calculations, payroll, and HMRC reporting
Organise and maintain physical and digital filing systems, ensuring confidentiality at all times
Perform accurate data entry using Microsoft Office, Google Workspace, QuickBooks, and internal databases
Generate standard correspondence, reports, illustrations, and documentation with the support of administrative assistants
Complete due diligence checks and review third-party information
Maintain schedules and key dates to ensure all administrative duties are completed on time
Log and manage correspondence records accurately
Support Pension Consultants and attend client meetings as required
Requirements
Proven office or administrative experience (pension or financial services experience preferred)
Some financial services background desirable
Strong organisational skills with the ability to multitask and prioritise workloads to meet service level agreements
Excellent attention to detail and high level of accuracy
Strong computer skills, including Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and QuickBooks
Numerate with good data entry and typing skills
Excellent communication skills, with the ability to speak confidently with high-net-worth individuals and senior stakeholders
Exceptional phone etiquette and professionalism
Ability to work independently with minimal supervision while contributing effectively as part of a team
Qualifications
Willingness to study towards and pass a general financial services qualification
CII qualifications desirable or a commitment to study towards certificate level
