We are looking for a responsible, organised and people focused Personal Assistant and Customer Service Executive to provide secretarial and administrative support to our Office Manager, Justyna, and help with the smooth running of our busy mortgage brokerage.
Open Door Mortgages helps all types of clients to buy, refinance and invest in property. This role is central to supporting our clients, advisers and directors, and keeping our office running at its best.
Key Responsibilities
Maintain a strong understanding of the business to establish priorities and manage expectations
Support the Office Manager in day-to-day tasks across the team
Manage our bespoke mortgage industry CRM database, ensuring data is accurate and up to date
Organise and track projects using Trello
Assist with financial administration including invoices, payments and basic reporting
Relationship management with directors, clients, advisers and partners
Answer phone calls, handle client queries and manage leads or prospects from the website
Collate and prepare client files for compliance checks
Support with general business operations including telecoms, IT, HR, payroll and pensions
Handle sensitive and confidential information with discretion
Proactively look for ways to support the business and directors
Be flexible, as tasks may vary to ensure rounded support
What we are looking for
Proven work experience as a Personal Assistant and in customer service
Tech-savvy and comfortable learning new systems
Excellent organisational and time-management skills
Confident communicator with strong verbal and written English
A people person with a positive, proactive attitude
Proficiency in MS Office including Word, Excel and Outlook
Ability to multitask and prioritise in a busy environment
Discretion and confidentiality are essential
Desirable but not essential
PA diploma or certification
Experience in the mortgage or insurance industry
