We are seeking a highly organized and proactive Personal Assistant (PA) to provide comprehensive administrative support to our Directors. This role requires an individual with strong administrative skills, excellent communication abilities, and a keen attention to detail. As a Personal Assistant, you will be responsible for managing day-to-day operations, scheduling meetings, handling correspondence, and assisting with various tasks to ensure the smooth operation of the office.
Key Responsibilities:
1.
Administrative Support:
Manage the Director's calendar, including scheduling meetings, appointments, and travel arrangements.
Prepare and maintain correspondence, reports, presentations, and other documents.
Answer and screen phone calls and emails, ensuring timely responses.
Manage and organize office files, documents, and other administrative tasks
Support onboarding/offboarding as needed
2. Meeting Coordination:
Schedule and coordinate meetings, including preparing agendas, taking minutes, and distributing follow-up actions.
Ensure all necessary materials and information are prepared ahead of meetings.
Organize and manage conference calls and video meetings.
3. Travel Arrangements:
Book domestic and international travel, including flights, hotels, and transportation.
Prepare travel itineraries and ensure all logistical details are organized for trips.
4. Personal support tasks:
Collect and drop off dry cleaning
Run small errands (post office returns, package collections, light shopping)
Arrange gifts/cards/flowers for occasions
Co-ordinate personal appointments where requested (dentist, opticians etc)
Book restaurants or events and manage reservations

Confidentiality & Discretion:
Handle sensitive information with the utmost confidentiality and professionalism.
Exercise discretion when dealing with the Director's personal and professional matters.
6. General Office Management:
Assist in the smooth running of the office
Liaise with other administrative staff to ensure all operations run smoothly.
Key Requirements:
Proven experience as a Personal Assistant or in a similar administrative role.
Strong administrative skills, including experience with office management software (e.g., Microsoft Office, Google Suite).
Excellent organizational and time management abilities.
Strong written and verbal communication skills.
Ability to multitask and prioritize tasks efficiently.
Discretion and confidentiality when handling sensitive information.
Detail-oriented and proactive, with a positive, can-do attitude.
Strong interpersonal skills and the ability to work well with executives and other team members.
Ability to adapt to a fast-paced and ever-changing work environment.
A high level of professionalism and presentation.
Job Types: Full-time, Part-time, Permanent
Pay: 25,000.00-28,000.00 per year
Expected hours: No more than 35 per week
