Salary: 30,000 - 37,000 depending on relevant skills, knowledge and experience plus a London Weighting allowance of 5,319. The expected salary range for this role reflects internal benchmarking and external market insights.

Job Introduction

We are looking for a motivated and organised Personal Assistant to join our admin team and provide diary support for the Entertainment Commissioning team. This is an opportunity for someone with a passion for our content to work alongside our Commissioning Coordinators and other PAs as a crucial part of our team.
The PA will support a minimum of three commissioners as well as providing back-up support, and leave cover, across the office, and on occasion for other commissioning editors. The Personal Assistant will provide administrative assistance to the commissioning team, each on a one-to-one basis, acting as first point of contact and liaising extensively with internal and external stakeholders.
This is a demanding and challenging role in a high pressure, fast-moving environment. We are looking for high quality, diary management and administrative support within a busy office with varied responsibilities and conflicting priorities.
This role is full time and based in London. We anticipate there will be a need to be in the office at a minimum of three days a week and you could be required to work more days in the office or at a production at the last minute to support the commissioning editors or the department.
Main Responsibilities

Approach
PAs must be proactive and flexible to support every aspect of the Commissioning process. You will have a rigorous attention to detail and be willing to turn your hand to any administrative challenge.
Relationships
PAs also need to develop a good understanding of where the Commissioning teams sit within BBC Content. There is a significant amount of engagement with senior stakeholders, inside and outside the BBC and we expect PAs to develop strong working relationships with external suppliers and internal departments.
We expect PAs to have excellent interpersonal skills, to work well in a team and be willing to support other PA and Commissioning Coordinator colleagues both within the genre and more widely in the department.
Functions
The role provides a comprehensive diary management service, including the management and scheduling of key calendar appointments ensuring effective management of the Exec's time.
Personal Assistants in this team are responsible for multiple diaries and are expected to have experience in handling the conflicting priorities of multiple managers.
Manage and organise events and meetings, including the booking of venues, travel and accommodation, to ensure effective use of the Exec's time. The role also provides extensive support of general office functions, including meeting room and tech set-up and management, and managing all aspects of events and large meetings.
The role involves cover for the other assistants as needed supporting commissioning editors and head of genre, and working with them to gather and compile material for meetings, trips and engagements.
The PA will be an effective communicator with an understanding of the commissioning role. They act as the first point of contact, handling complex and confidential situations and requests. PA's must screen and prioritise all forms of incoming communications, dealing with routine issues and coordinating more complex responses ensuring these are delivered in a timely and effective manner.
PA's create and maintain efficient and effective filing systems, ensuring all documentation catalogued and organised using internal systems.
The job holder must undertake other duties appropriate to the post, including the collation and preparation of invoices, raising purchase orders, processing expenses, supporting the onboarding of new team members, providing PA support to the team.
Are you the right candidate?

You will have recent experience of working with and supporting senior staff at the BBC or a large organisation. This is recent experience of working as a Personal Assistant and Diary Manager to senior level managers.
You will have a very high level of attention to detail and be comfortable with handling a large volume of work, juggling changing priorities and challenging deadlines. Ability to use own initiative; be proactive and manage own time and workload, dealing with specific queries as they arise.
You will have experience of managing multiple diaries, working to multiple people balancing individual priorities. You will have experience of handling multiple and often conflicting requests calmly and effectively, regularly reprioritising your own and commissioners workload to ensure business objectives are achieved.
You will have excellent organisation and planning skills. You will have significant practical experience of gathering, reviewing and collating complex and confidential information.
You will have experience of developing strong working relationships and of working within a busy team supporting the workload of other Personal Assistants with a positive and collegiate attitude. You will be reliable and enthusiastic with proven ability to work in a team environment. You will need to work flexibly and independently, be a collaborative team player, and demonstrate a proactive and positive can-do attitude.
You will have strong interpersonal skills with the ability to communicate effectively at all levels. You will be experienced in handling confidential information and understand the pressures and sensitivities of working in a sensitive corporate environment.
You will have excellent IT skills and produce high quality documents and presentations. You will have extensive recent experience of Office software including Outlook, Excel, Word and PowerPoint.
You will have knowledge of and passion for BBC content.
