Personal Assistant:
We are looking for an enthusiastic, organised and reliable Personal assistant to undertake comprehensive administrative and organisational support to the Director, ensuring the smooth and efficient management of daily responsibilities, projects, and communications within a fast-paced facilities management environment.
Skills and experiences:
Full UK Driving license
Background in working in a face pased office.
Comfortable using word, excel, emails etc.

Key Responsibilities:
Diary Management:
Coordinate and manage the Director's schedule, meetings, and appointments effectively.
Email and Communication Management:
Monitor, screen, and respond to emails as required; draft correspondence on behalf of the Director.
Meeting Coordination
:
Arrange meetings, prepare agendas, collate documents, take minutes, and follow up on actions.
Travel Arrangements:
Organise business travel, accommodation, and itineraries as needed.
Project Support:
Assist in ongoing facilities management projects by tracking tasks, preparing reports, and liaising with team members and stakeholders.
Document Management:
Draft, proofread, and format documents, reports, and presentations to a high standard.
Confidential Support:
Handle confidential information with discretion and maintain professionalism at all times.
Operational Support:
Assist with operational and administrative tasks within the facilities management team where required.
Liaison:
Act as a key point of contact between the Director, staff, clients, and suppliers, ensuring clear and professional communication.
General Administration:
Manage filing systems, order office supplies, and undertake general administrative duties to support the Director's role effectively.
Key Skills and Experience:
Previous experience as a Personal Assistant or Executive Assistant (experience in facilities management or construction is advantageous).
Excellent organisational and time management skills.
Strong written and verbal communication skills.
High attention to detail and accuracy.
Proactive and able to prioritise workload efficiently.
Confident with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Macbook).
Ability to maintain confidentiality and handle sensitive information appropriately.
Strong interpersonal skills with a professional and approachable manner.
Qualifications:
GCSEs (or equivalent) in English and Maths at Grade C/4 or above.
PA/Secretarial qualification is desirable but not essential.

Monday-Friday 5 days a week
8am-5pm
