Responsibilities:
Maintaining Executive level confidentiality and operating with Integrity.* Manage administrative task in the support of the Director.* Manage and Organise appointment setting.* Managing specific projects.* Reconciling invoices, Mileage & Expenses.* Liaising with clients.* Creating PowerPoint presentations.* Control of team diaries.* Control of travel arrangements and accommodation.* Ensuring that processes and procedures are followed within team.* Control of holiday and sickness planner and records for the team.* Ensure that the team maintain their focus on agreed deliverables.* Produce analytical reports and make recommendations for business improvements.* Act as a key member of the senior management team* Answer phone calls and handle inquiries with professionalism and excellent phone etiquette.* Type and prepare documents, reports, and correspondence as needed.* Perform data entry tasks accurately and efficiently.* Familiarity with QuickBooks or other software for basic bookkeeping tasks.*

As the Executive Assistant you will play a pivotal role in ensuring the smooth and efficient operation of our organization. Your responsibilities will include:
Provide high-level administrative
Helping them manage their time, priorities, and tasks effectively.
Calendar Management: Efficiently manage the calendar, including scheduling meetings, appointments, and coordinating travel arrangements.
Communication: Serve as a gatekeeper and the first point of contact between the Director and internal/external stakeholders, ensuring clear and professional communication.
Documentation: Prepare and review documents, reports, presentations, and correspondence, ensuring accuracy and confidentiality.
Meeting Coordination: Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
Project Support: Assist in managing key projects, tracking progress, and liaising with cross-functional teams to ensure deadlines are met.
Travel and Expense Management: Handle travel arrangements, accommodations, and expense reports efficiently and cost-effectively.
What you need to know:
To excel in this role, you should possess the following qualifications and skills:
Experience: Proven experience as an Executive Assistant or in a similar role, ideally supporting senior executives.
Organization: Exceptional organizational and multitasking abilities to manage complex schedules and tasks effectively.
Communication: Excellent verbal and written communication skills, including professional email etiquette.
Tech-Savvy: Proficiency in MS Office Suite (Word, Excel, PowerPoint) and the ability to adapt to new software and tools quickly.
Discretion: High level of integrity and the ability to handle sensitive and confidential information with discretion.
Initiative: Proactive and self-motivated with the ability to anticipate the needs of the COO and take initiative.

Educated to degree level desired
Minimum 2 years EA experience
