Job Overview: We are looking for someone organized, who can work well under pressure and can deliver efficient and executive support. The successful applicant will work within the Pioneer Training Team and primarily as the personal assistant to the supportive CEO. The successful applicant will also provide similar support for the CEO's linked charitable organizations. With an expected start date to be agreed by mutual agreement once the business is set-up.
Description of Duties
PA support to CEO
Manage Calendar, travel and events
Responsible for formatting and writing letters and reports
Research and support to provide daily briefings/agendas/background material to CEO to ensure they are prepped as needed - undertaking research where needed
Meeting co-ordination and room prep/set-up
Meeting attendance as needed and represent the CEO if required and reflect the positive values and qualities of both the CEO and organisation.
Assisting with PowerPoint presentations
Management of incoming e-mails/responding to queries where appropriate with confidentiality
Producing monthly executive reports, letters, presentations, and graphical information
Maintaining records of outstanding expenses, issues and ensuring a quick resolution
Ad-hoc personal support to CEO, including across linked charitable organizations
Provide support to senior management, other organisation staff, partners, applicants and clients where needed
Develop close working relationships with external organisations where needed to support CEO
Processing programme handbooks, teaching materials and communications with clients where required
Set up and maintain relevant material on our staff intranet and relevant staff web pages
Administration of relevant procedures
Administering Pioneer Training Support databases and systems
Administering and checking client documentation, such as ID documents and payslips etc
Supporting Client Support services with Social Media administration when needed
Raise purchase orders and process staff expenses as required
Organise travel arrangements
Liaise with property management regarding the refurbishment and redecoration of offices and the replacement of equipment
Order and maintain office supplies
General office duties as required e.g. filing, collection of mail, delivery of mail to post office if required and management of generic e-mail boxes.
Undertake personal development in skill areas related to the post
Undertake any other duties and responsibilities, commensurate with the post, as directed by CEO.
Essential Criteria
Qualifications
Good educational background (to at least HND level) or equivalent professional experience
Knowledge & Experience
It is key you have exposure in PA/Senior Office Administrator setting.
Ideally within professional services setting, Legal, Financial Services or Accountancy, however not essential.
Good working knowledge of Word, Excel & PowerPoint
Proven experience in administration
Demonstrate experience of using a range of relevant IT packages
Driving Licence
Someone with good sense of humour

Excellent organisational skills and ability to prioritise a demanding workload and supervise tasks in a pressurised environment
Resilience with the ability to work under pressure to tight deadlines, whilst maintaining high standards of quality and accuracy
Ability to communicate effectively with individuals from a wide range of backgrounds and cultures
Experience of dealing with confidential issues with tact
Ability to foster good relationships and be diplomatic
Proficiency in Microsoft Office applications
Ability to work independently and as part of a team
Creative and positive attitude with a commitment to service quality
Sound administrative, organisational and process management skills
Flexible and a willingness to learn and develop
Excellent communication (oral and written) and inter-personal skills
