About the Role and the Team




As a

Personal Assistant

, you will be supporting the Chief Operating Officer (COO) in delivering high-impact work by managing all administrative tasks and ensuring the COO's time is maximised. You will act as a key strategic partner, coordinating and engaging with a diverse range of internal stakeholders, including Senior Management and employees at all levels. You will design and deliver impactful, end-to-end administrative experiences from complex diary management to travel logistics while remaining flexible, proactive, resourceful and efficient, even under pressure. This role demands the utmost professionalism and confidentiality.

Extensive Diary Management for the COO and the WE Regional VP Coordinate and Execute Meetings (internal/external), including scheduling, setting up VC/dial-in details, distributing agendas, and arranging venues/catering Attend Key Meetings (e.g., CLT) to take accurate notes and minutes for succinct information transfer Handle Full Travel Logistics for the COO, including booking accommodation, transfers, and necessary reservations Facilitate Setup and Induction for all new Senior Management hires, arranging stakeholder meetings and equipment Support wider CLT Team with off-sites and daily enquiries, and assist Marketing with external events Manage Financial Administration, specifically the completion and submission of all expense claims Oversee Office Operations (maintenance, IT, supplies) and collaborate with the CEO's EA on yearly event planning
