Role Overview
This is an exciting opportunity to support a home-based businessman, in optimising his time and productivity, based at his estate near Skipton. You will manage his diary, act as first point of call and provide administrative support, ensuring he can focus on strategic Family/Business/Home priorities. This role offers autonomy and the chance to shape the position to suit your strengths and experience.
The role includes elements of personal support, office management, and support for the wider estate team. You will handle sensitive and confidential information, requiring a mature and professional approach.
You will be a part of a team of people, including an existing PA, House and Maintenance staff, Garden and Construction teams. This is a fulfilling role that promises variety, in a supportive working environment.
Key Responsibilities:
Diary Management:
Organise and prioritise appointments, meetings, and travel schedules.
Accounts Assistance:
Payroll administration, Pay invoices, gather expenses, process receipts, reconcile bank and cash statements.
Administrative Support:
Prepare, scan, and send documents; manage contracts and ensure accurate record keeping.
Meeting Support:
Schedule meetings and coordinate follow-ups.
Personal Support:
Manage personal appointments, support the existing PA to coordinate social events for Principal and his wife.
Employee Relations:
Support the Principal with staff related issues, HR matters.
Gatekeeper:
Act as first point of call, fielding internal and external enquiries from staff, Board Members, business associates and external contractors.
Office Management:
Support office coordination, purchasing and facilities management where required
Construction Team Support:
Procurement via established trade accounts
Estate Management:
Act as a liaison between tenant farmers, Land Agents, external contractors. Manage annual land contracts and maintenance of land.
Other properties:
Coordinate the smooth running and maintenance of additional residences in London, Toronto and two staff accommodation properties on the estate.
Skills & Experience:
Proven experience as a Personal Assistant
Strong organisational and time-management skills.
Proficient in handling sensitive information with discretion.
Excellent communication skills, both written and verbal.
Tech-savvy, with the ability to adapt to new systems and tools.
Good with numbers and book-keeping/accounting basics.
