Role overview

Introduction to the role:
We are looking to recruit a PA to provide effective and flexible support to Healthcare Commercial and Health Employment teams in Leeds. You will become familiar with both teams' various client matters and provide support and assistance when required. You will provide administrative support to the solicitors within the teams, assisting in the key client, file management, billing and compliance processes

Key responsibilities:

Administrative support to solicitors in the team Diary management and arranging meetings Coordinating team diaries and arranging travel Full understanding of the team's clients and files Opening of client files Carry out archiving, organisation of client files and filing systems, including electronic filing, when required Copy and distribute documents ensuring they reach their destination Arrange couriers and deliveries Dealing with invoices and managing billing processes, including direct client contact Providing key performance data to clients Maintain databases and produce Management Information ('MI') reports Make and receive telephone calls evaluating communications and ensuring all calls are dealt with effectively Prepare monthly client billing, expense claims and general finance tasks Prepare PowerPoint presentations when required Stationery ordering, where appropriate Developing good working relationships with both internal colleagues and external clients and contacts as required, promoting a positive working culture and environment Working across teams, including in particular business development, in promoting the interests of business Developing healthcare industry knowledge and attending training as may be necessary or desirable to assist in performance of the role

What are we looking for:

Important CriteriaPrevious experience working in legal sector Proficient in diary management; meeting arrangements, telephone and email communication Proficient in Word, Excel, Outlook, PowerPoint, Digital dictation and any other in-house systems in use throughout the firm Able to produce accurate and well-presented work Conversant in document formatting including track changes, auto-numbering and creating table of contents Able to create pdf bundles for court Conversant in document version control Able to demonstrate excellent communication skills Prioritise tasks and work under pressure Able to demonstrate adaptability and flexibility Able to work as part of a team and use initiative but also work independently
It would be beneficial to have some of the following:PA qualification or a similar related qualification Previous experience using a case management system Conversant with a Document Management System (DMS)
