Personal Assistant

for a

6-month

contract based in

London (hybrid).



Candidate Profile: Key accountabilities, skills & experience

Purpose of the role:





An exciting opportunity has arisen for a Personal Assistant to provide high-level administrative and secretarial support with excellent communication skills. This is a temporary role supporting our Property, Science and Industry teams in London.



This role will suit an individual with experience of supporting multiple Senior team members and who is confident at balancing the needs of those individuals, with a desire to learn the fundamental activities of each team. You will be a core member of the administrative team and be collaborative in your approach. You will support each other in everyday tasks and provide cover as and when needed.


What you'll do:




Diary management Reviewing of inbox, appointments, taking action/responding where appropriate Co-ordinate all aspects of travel for overseas and UK trips New starter inductions - taking ownership of the process to onboard new staff and welcome them to Arup Organising meetings, Teams, In-person, with internal and external stakeholders General assistance in preparing for external and internal meetings Advising staff/reception of visitor arrivals, greeting visitors, organising provision of refreshments, arranging working lunches Communication and Socials - keeping the team up to date, posting vacancies, news and organising social events throughout the year Relief of administrative detail e.g., expense claims, invoice approval etc. Arranging of off-site workshops / Restaurants etc

The skills you'll need:




Excellent coordination, organisation and administration skills An excellent communicator and influencer Confident when working under pressure Self-motivated, pro-active, able to use own initiative Use judgement to manage workflows including associated deadlines, actions, thinking ahead, prioritising effectively Excellent computer/typing skills and knowledge of MS Office Suite, Adobe, PowerPoint etc System knowledge of travel tools desirable: Concur, Conferma, Evolvi
