Job Summary


We are seeking a highly organised and proactive Personal Assistant to provide Executive assistance to the CRO, and CIA in meeting their business objectives by providing a broad range of secretarial support.

To oversee the administrative operations of both functions managing day-to-day administrative tasks as they arise.

Duties



Manage all incoming mail/communications to ensure the appropriate action is taken including responding directly or coordinating responses from the business where appropriate. Manage diary commitments, and arrange appropriate meeting papers and travel arrangements as required. Ensure 6 Monthly performance reviews are scheduled for direct reports and support the mid-year and end-of-year performance process. Filter general information, queries, phone calls and invitations by redirecting or taking forward such contact as appropriate. Support the GCRO & GCIA through the production of high quality documentation and provide input where required. Support the maintenance of the Risk and Governance Framework as required, for example maintaining a log of Committee Terms of Reference, Policies etc. and issuing reminders to owners to ensure that these are kept up to date. Support the Internal Audit function's action tracking processes by updating action trackers and issuing action forms to owners on a timely basis. Supporting professional subscriptions and booking training as requested. Identify and implement leadership support policies and procedures to enable consistency of approach and facilitate efficiencies. Proactively propose initiatives/improvements that will enhance leadership support generally and the business unit specifically. Act as a professional representative of the GCRO & GCIA office. Provide a service that is in line with the executive directors work habits and preferences. Point of contact for ELTO audit purposes.

Requirements:



Experience:



Essential

- experience in supporting Executives or Senior Leaders (Minimum 2 years) Experience of completing a PA role in a highly pressurised environment requiring tact, judgment and discretion in handling internal and external contacts An in-depth understanding of corporate wide agendas and initiatives Expert level use of electronic communications, document management systems, expense systems, word processing, spreadsheet and presentation software Excellent oral and written communication skills and ability to professionally represent the executive director's office Understands sensitivity of high profile relationships and ability to develop and maintain good working relationships at all levels, including during difficult or challenging circumstances Ability to think ahead and anticipate needs before they arise Ability to exercise discretion in dealing with confidential or sensitive matters Confident and able to work on own initiative and with limited supervision

Pay: 35,000.00-45,000.00 per year
