Looking for a reliable and proactive Personal Assistant to support the Director in managing several diverse and values-driven business ventures. These include an Islamic centre, an Arabic-British cafe and bakery, an art and calligraphy brand, and a business consultancy service.
This is a flexible, hands-on role that combines administrative support with practical, day-to-day assistance across multiple locations and a variety of tasks. You'll need to be organised, adaptable, and comfortable balancing different responsibilities across community, hospitality, and creative settings.
Duties
Provide comprehensive administrative support to the Director, including managing calendars, scheduling appointments, and coordinating meetings
Prepare professional documents, reports, and presentations using Microsoft Office applications
Handle data entry and maintain accurate records across all systems
Assist with bookkeeping and financial tracking in Excel, including invoicing, receipts, and expense monitoring
Maintain an organised digital and paper filing system for quick access to important documents
Monitor and manage office supplies, placing orders when needed to ensure smooth operations
Answer and make phone calls with clarity and professionalism, handling general inquiries and liaising with suppliers or partners
Support the Director in researching products, services, and vendors for various business needs
Assist with planning and preparing content for social media platforms, particularly LinkedIn and TikTok (training provided if needed)
Drive between business sites when required (full UK driving licence required; access to a car is a bonus)
Attend and support mosque-based events and activities as needed
Help set up stalls, displays, and materials for public events or exhibitions
Carry out basic office cleaning and tidying to maintain a clean and welcoming workspace
Provide general ad-hoc support across different businesses as directed
Qualifications
Minimum of 3 years' experience in an administrative or clerical role
Proficient in Microsoft Office, especially Word, Excel, PowerPoint, and OneDrive
Strong organisational skills with the ability to prioritise and manage multiple tasks independently
Excellent attention to detail in data entry and document handling
Confident and professional phone communication skills
Clear written and verbal communication style
Proactive, reliable, and able to adapt across different work environments
Comfortable working independently as well as part of a small team
Willingness to learn new tools, systems, and tasks
Full UK driving licence (access to a car is a bonus)
