The Role
We are seeking a highly organised, proactive, and trustworthy
Personal Assistant (PA)
to provide comprehensive administrative and operational support to our Managing Director (MD). This is a varied and hands-on role that also involves assisting with the day-to-day running of the company's property portfolio.
The successful candidate will play a key role in ensuring the smooth operation of both the MD's workload and the wider business.
Key Responsibilities
Phone & Communication Management:
Answer and manage incoming calls, emails, and correspondence, ensuring enquiries are handled efficiently and directed appropriately.
Bookkeeping & Finance Support:
Maintain accurate financial records, including tracking expenses, managing accounts payable and receivable, reconciling bank statements, and supporting general bookkeeping tasks.
Property Portfolio Support:
Assist with the day-to-day management of the property portfolio, including liaising with tenants, contractors, letting agents, and service providers, tracking maintenance issues, and ensuring records are kept up to date.
Marketing Support:
Assist with marketing activities, including social media management, content creation, and coordination of promotional campaigns.
Airbnb Management:
Oversee Airbnb listings, manage enquiries and bookings, communicate with guests, and coordinate cleaning and changeovers.
Managing Director Support:
Provide high-level administrative assistance to the MD, including diary management, meeting scheduling, document preparation, and research.
Invoice & Credit Control:
Chase outstanding invoices, liaise with clients regarding payment status, and ensure timely collections.
Payroll Assistance:
Support payroll processing by maintaining employee records, tracking hours, and ensuring payroll compliance.
Diary & Travel Management:
Organise and manage the MD's calendar, including appointments, meetings, and travel arrangements.
Requirements
Previous experience as a Personal Assistant or in a similar administrative role
Experience or interest in property management (desirable)
Proficiency in bookkeeping software and Microsoft Office
Excellent written and verbal communication skills
Strong organisational and time-management abilities
High attention to detail with a proactive, problem-solving mindset
Ability to handle confidential and sensitive information with discretion
