We are seeking a highly organised and proactive Personal Assistant to support our CEO in daily operations. The ideal candidate will possess exceptional administrative skills, a keen attention to detail, and the ability to manage multiple tasks efficiently. This role is pivotal in ensuring the smooth running of the executive office and requires a professional with excellent communication skills and a strong understanding of various software applications.
Responsibilities
Provide comprehensive administrative support to the CEO, including managing calendars, scheduling meetings, and coordinating travel arrangements.
Prepare and organise documents for meetings, ensuring all necessary materials are available and presented professionally.
Maintain accurate records and files, including data entry into QuickBooks and other relevant systems.
Assist with project management tasks as directed by the CEO, including tracking progress and reporting updates.
Handle correspondence with internal and external stakeholders, demonstrating excellent phone etiquette and professionalism.
Perform clerical duties such as filing, photocopying, and managing office supplies to ensure an efficient working environment.
Utilise Google Suite and Microsoft Office applications to create presentations, spreadsheets, and reports as needed.
Qualifications
Proven experience in an administrative or personal assistant role is essential.
Proficiency in Google Suite and Microsoft Office applications is required; familiarity with QuickBooks is a plus.
Strong organisational skills with the ability to prioritise tasks effectively in a fast-paced environment.
Excellent verbal and written communication skills, demonstrating professionalism in all interactions.
Attention to detail with a commitment to maintaining high standards of accuracy in all work produced.
Ability to work independently while also being a collaborative team player.
