Overview:



The Headteacher's Personal Assistant (PA) plays a crucial role in supporting the

Headteacher in their daily administrative tasks, ensuring the smooth operation of the

office and providing efficient communication between the Headteacher and staff,

students, parents, and external stakeholders.

Key Responsibilities:



Administrative Support:



? Provide comprehensive administrative support to the Headteacher, including

managing their calendar, scheduling appointments, and organising meetings.

? Handle incoming emails, phone calls, and correspondence on behalf of the

Headteacher, ensuring prompt and professional responses.

? Maintain accurate records, files, and databases, and assist in the preparation of

reports, presentations, and other documents.

Communication and Liaison:



? Act as the primary point of contact between the Headteacher and internal/external

stakeholders, including staff, students, parents, governors, and external agencies.

? Coordinate communication between the Headteacher and various departments

within the school, ensuring timely dissemination of information and instructions.

? Draft and distribute official correspondence, memos, and announcements on behalf

of the Headteacher.

Meeting and Event Management:



? Arrange and coordinate meetings, conferences, and events attended by the

Headteacher, including booking venues, sending invitations, and preparing meeting

agendas.

? Attend meetings with the Headteacher, take minutes, and distribute them to

relevant parties in a timely manner.

? Assist in the organisation of school events, such as open days, parent-teacher

conferences, and staff training sessions.

Confidentiality and Discretion:



? Maintain strict confidentiality and discretion when handling sensitive information,

including personnel matters, student records, and school policies.

? Handle confidential documents and discussions with professionalism and integrity,

adhering to data protection regulations and school policies.

Other Duties:



? Undertake ad hoc tasks and projects as assigned by the Headteacher, contributing

to the overall efficiency and effectiveness of the school's administrative processes.

? Collaborate with other administrative staff and support colleagues across the school

to achieve common goals and objectives.

Job Specification:



Education and Qualifications:



Experience:



? Proven experience in a similar administrative role, preferably supporting senior

management or executive-level staff.

? Familiarity with school administration processes and procedures is advantageous.

Skills and Abilities:



? Excellent organisational and time management skills, with the ability to prioritise

tasks and meet deadlines effectively.

? Strong communication skills, both written and verbal, with the ability to interact

professionally with diverse stakeholders.

? Proficient in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other

relevant software applications.

? Attention to detail and accuracy in data entry, record-keeping, and document

preparation.

? Ability to maintain confidentiality and exercise discretion when handling sensitive

information.

? Flexibility and adaptability to work in a fast-paced environment and handle multiple

tasks simultaneously.

? Positive attitude, proactive approach, and willingness to take initiative to support

the Headteacher and contribute to the school's success.

Working Conditions:



? The Headteacher's PA typically works in an office environment within the school

premises.

? Standard working hours may vary, but often include regular office hours, with

occasional flexibility required to accommodate meetings and events outside of

normal hours.

? The role may involve occasional travel and attendance at off-site meetings or

events as required.

Job Type: Full-time

Pay: From 23,000.00 per year
