To provide a comprehensive PA service to the Headteacher. To undertake all duties related to the promotion and public image of KEGS.

Role Specific Duties and Responsibilities:
PA to the Headteacher
Provide administrative support for the Headteacher, in order to assist in the smooth running of all his/her activities, working under their supervision but expected to exercise considerable initiative in performing delegated duties, seeking the necessary advice, where appropriate.
Manage the Headteacher's appointments diary and organise meetings
Respond to/action queries, emails and correspondence from parents, the public, neighbours, external organisations and other stakeholders as required. Screen telephone calls, enquiries and requests and handle them or delegate to others as appropriate, using discretion in providing information both within and outside the school.
Undertake additional tasks as directed by the Headteacher to assist the smooth running of the school
Liaise with parents, governors, clerk to governing body, alumni, staff, general and VIP visitors to the school. Welcome external visitors on behalf of the Headteacher and ensure refreshments are available.
Draft correspondence on student exclusions etc for members of the Senior Leadership & Pastoral Team as required.
Act as a general point of contact for Management and Foundation governors and manage the parent governor and staff governor election process for each body. Ensure that governors are informed of and invited to school events
Maintain accurate files and reference systems, including archives and current key contact names and addresses.
Miscellaneous duties eg. production of clubs calendar, term & holiday calendar, co-ordination of service ties, design and procurement of the school Christmas card, display or signage materials, updating staff pigeonholes to reflect staff changes etc.
Additional tasks as requested by other senior school staff which may include event organisation, note taking, report preparation or meeting organisation
Media
Manage all media enquiries and co-ordinate interview and filming requests. Act as media point of contact in a crisis situation
Create effective content for press releases, including photos for media use.
Liaise with senior staff to create press statements when necessary
Maintain all media contacts
Keep record of all press attention, including cuttings displays and books

Communications & Marketing
Develop and implement communications plans to promote student activities, school events and productions
Responsible for the school website. Ensure that content is informative, accurate and current. Design new content as appropriate. Responsible for the website re-design and renewal process, working with senior staff and external website providers.
Edit and produce half termly school newsletter
Produce weekly parent bulletin
Generate and commission materials for specific initiatives. Assist in the production and formatting of accurate and high quality school publications as required
Produce weekly staff briefing notes. Act as occasional minute taker as necessary.
Responsible for the Parentmail system, including the contract renewal process. Maintain and update the system, including the annual roll-up process. Control the dissemination of information and act as point of contact for parent queries. Oversee other staff users and train new users.
Responsible for the organisation of the annual prizegiving ceremony, overseeing and co-ordinating all staff involved in the process. Production of the prizegiving programme
Organise and manage a range of school events
Responsible for the school's social media feeds. Create content and take appropriate action as necessary to protect the school's public image. Respond to any queries received via social media.
Act as the guardian of the KEGS brand and act as the 'quality control' in respect of documents and written materials for external publication
Manage the KEGS alumni network database and the Y13 sign up process. Produce communications and distribute to the appropriate alumni audience.
Respond to requests from alumni to visit school, accompanying them as appropriate.
Maintain the school's record of Freedom of Information requests
Maintain an archive of photographs and manage permissions for photo usage. Act as photographer at events
Manage the KEGS parent pupil tour and sixth form open evening booking process and communications process, together with monitoring and evaluation
Assist in the compilation of The Chelmsfordian magazine as required.
Responsible for the initial impression of the school through all main public areas of the school, display and visitor protocol, and monitoring displays in reception areas. To include material on screens around the school

To participate in the professional review process, taking personal responsibility for identification of learning, development and training opportunities in discussion with line manager.
To comply with individual responsibilities, in accordance with the role, for health & safety in the workplace.
Ensure that all duties and services provided are in accordance with the schools equal opportunities policy.
