PPM Coordinator

to support our busy Helpdesk team in the effective delivery of planned maintenance activities and associated compliance tasks.

Role Overview:



The PPM Coordinator will play a crucial role in ensuring the efficient scheduling, tracking, and completion of planned preventative maintenance (PPM) works across our client sites. The successful candidate will be responsible for liaising with internal teams and external contractors, ensuring service delivery is on time and within compliance frameworks.

Key Responsibilities:



Raise, schedule, and monitor PPM tasks through our CAFM (Computer-Aided Facilities Management) system. Review and chase outstanding worksheets and ensure documentation is completed and uploaded accurately and in a timely manner. Check received worksheets to identify any basic remedial works required. Liaise with Facilities Managers to escalate larger or complex remedial issues for appropriate resolution. Ensure contractor compliance with planned maintenance schedules and relevant industry standards. Act as a support mechanism to the helpdesk team and provide coverage during peak times or absence. Maintain accurate records of completed tasks, compliance data, and remedial actions on CAFM systems. Maintain accurate PPM schedules for sites, making alterations to planners where required. Assist in producing reports and documentation for internal use and client reporting as required. Work closely with the Helpdesk Manager to improve processes and ensure service excellence.

Key Requirements:



Proven experience in a Facilities Management or Helpdesk environment. Strong knowledge of PPM scheduling, compliance requirements, and remedial works processes. Experience using CAFM systems is essential. Demonstrated ability to coordinate with contractors and manage their performance effectively. Ability to interpret and review worksheets, identify issues, and escalate appropriately. Excellent communication and organisational skills with a high attention to detail. Proactive approach with the ability to work independently and as part of a team. Strong IT skills, particularly in Microsoft Office (Excel, Outlook, Word). Monday - Friday 08:30 - 17:00 On call rota for OOH escalations (approximately 1 week in 8)

Desirable:



IOSH or other basic H&S qualification. Experience in an FM service provider or multi-site environment. Understanding of statutory compliance requirements for building maintenance.
