Exciting Opportunity to cover this fast-paced, fulfilling role for a 9 to 12 month period.



Day shift 39 hours per week



Monday - 8.00am to 3.30pm



Tuesday to Thursday - 8.00am to 4.00pm



Friday - 8.00am to 3.30pm



Main Purpose of the Position



To provide effective administration support to the Plant Manager, Senior Management and professional communication for site. As a talented organiser you will have a passion for continual improvement and high standards.



Key Responsibilities:



Administration



Provide admin support to the Plant Manager and Senior Management Team in a professional and timely manner

Schedule, attend and take actions of various meetings.

Follow up on actions from meetings, collating information and chasing as necessary.

Management of general housekeeping on site, reviewing, and updating plant information

Ensure stationary provision in place for plant (ordering and maintaining stock levels)

Create purchase orders for Plant management team as required and follow through for booking in and invoice sign off.

Arrange hospitality (onsite and offsite) including refreshments, transport, and accommodation as appropriate ensuring communication to all parties, in compliance with company policy.

Ensure all incoming and outgoing post is dealt with effectively, including managing the franking of post and arranging couriers as necessary

Manage locker keys/lockers, maintaining a register of owners

Collection and distribution of site post and management of internal 'pigeon holes'

Point of contact for external call to the site/direct to appropriate team

Maintain and drive improved performance on site by identifying areas for improvement.

Supporting out of hours for admin, travel and accommodation issues

Visitor and new starter PPE Storage Management, allocation and preparation

Management of car park permit system and spreadsheet maintenance

Annual management of VIP visits to site

Onboarding support to HR

Employee recognition scheme management, PO ordering, letter population, voucher allocation, PO Sign off and voucher sign off population.

Ad-Hoc time and attendance system support



Supplier Management



Point of contact for facilities management and maintenance. Co-ordinate site facility contractors - building relationships with providers to ensure effective provisions in place

Co-ordinate site services facilities i.e. Canteen/Cleaners - build relationship, attending meetings, ensuring compliance with contract and addressing issues etc.

Manage the workwear/uniform contract with regards to orders, distribution and any issues that arise. Coordinate all new starter and leaver uniform, ordering and cancelling as required



Communication



Create/maintain and monitor plant/corporate communications, acting as the communication champion for the site.



Health and Safety Support



Co-ordinate and maintain safety inductions for site contractors and visitors, ensure records are maintained and tracked.

Manage tracking of safety cards, populate a publish daily and weekly H&S communications, manage and control access database to publish all relevant H&S data across site.

Permit population

EHS Committee meeting slide deck population and delivery support



Event Management



Planning and executing Rugby Plant Employee competitions and engagement

Higher volume employee event planning, management, budgeting and execution

Chairing the employee engagement committee



Other



Maintaining confidentiality in all matters

Holiday/sickness cover for other support functions when necessary

Any other duties commensurate with the role - this is a role which will be ever evolving

Languages



English both written and verbal (other languages would be an advantage)



Computer Skills



Excellent knowledge of Microsoft office packages



Experience/Attributes



At least 5 years experience as a Senior Administrator

Effective communicator

Strong prioritisation and organisation skills, remaining calm and flexible in this fast-paced production environment

High attention to detail

Ability to work as part of a team as well as independently

Excellent time management skills

Ability to handle confidential information

Willing to get involved, nothing too much trouble

Highly motivated and systematic
