Role Overview
To oversee and optimise the BAU activities of the PMS system. The job holder will collaborate across business functions, business lines and with stakeholders to help streamline system processes and system performance.
Job Purpose
The purpose of this role is to ensure that BAU operations of the firms PMS system is managed in a way that accurate financial data is produced for the management accounts and that the external client billing experience is a positive one. It is also key for the post holder to make sure that the system is operating in a way that adheres to the requirements of the firm's internal security and to external regulatory standards.
As PMS Business and Finance Support Manager your responsibilities will include among others
Staff Management - PMS (STAR) Support team
Manage the PMS support team, which includes work allocation, problems resolution, training and development.
Ensure the optimum level of staffing are maintained to guarantee the smooth running of the department
Have regular team meetings to support team communications
Provide first line support for staff problems/issues,
Team building and motivation to achieve peak productivity and performance
Coach and develop the team through delegation and empowerment of tasks and encouraging professional development.
Provide feedback to the team both informally and through the formal perf review process
PMS (STAR) Business Support
Ensure the business is making the best use of the functionalities within STAR. This will be the through the initiation and drive of both change and improvements.
Manage the BAU financial operations within STAR to ensure that the business models and management account policies are properly supported.
Examine data in STAR to check for discrepancies and ensure that all transactions are properly and accurately recorded. Where required ensure systems are put in place to prevent any repetition of errors.
Research the data within STAR and report on factors that may be inconsistent. Make recommendations for change.
To ensure that all staff and holiday records are kept up to date.
Monitor PMS support calls to ensure efficiency across the business.
Liaise with business champions on BAU matters.
PMS (STAR) Training Support
Manage the PMS training provided to the business to ensure that a cohesive and consistent approach exists in the use of STAR.
Ensure that training is provided, so staff have the knowledge and confidence in all aspects of the STAR system
Address and remedy the processes that are unused in STAR or that are being used incorrectly
Ensure that any newly acquired businesses have the appropriate training and support
Ensure an easy access learning platform exists and is maintained
PMS (STAR) Technology
Act as a liaison with the PMS Tech team to ensure a strong communication link exists and that ongoing business requirements are met.
WIP Management
Ensure that the monitoring and administration of the WIP levels is carried out in accordance with company policy.
Monitor and help reduce aged WIP.
Work with the business to fully understand and reduce WIP balances.
Provide and encourage the use of WIP Management Targets to the business.
Ensure that aged WIP balances are dealt across the business.
NNWIP - ensure that these codes are used within firm's policy, are reconciled and cleared on a regular basis.
Support the full year WIP and Debtors sign off process.
Other
Act as liaison between the business and external auditors to ensure that all deliverables deadlines are met.

Qualifications
Skills and Experience
To be successful in this role, you should have
Experience of working at a senior level
Extensive operational knowledge of a practice management system (STAR)
Strong knowledge of Excel
Have a working understanding of PowerBI
Management and leadership experience
Awareness of management accounting practices
Key Competencies
Ability to prioritise own workload as well as the demands of the team on a day-to-day basis
Flexible approach to work, with a willingness to step in and assist as required
