Portfolio Coordinator

Remote, GB, United Kingdom

Job Description

About the Role

We're looking for a hands-on and organised Portfolio Co-ordinator to support both project delivery and project governance across our growing portfolio. This role blends project coordination with PMO analyst responsibilities, making it an excellent opportunity to build a solid foundation in project management.

Around 80% of your time will focus on project planning, scheduling, and delivery enablement, while the remaining 20% will be spent supporting portfolio governance, reporting, and resource planning. You'll work closely with senior project managers, delivery leads, and the PMO team to ensure projects run smoothly, risks are well-managed, and governance standards are met.

What good looks like

Project plans, trackers, and schedules are accurate, up to date, and communicated clearly. Project risks, issues, and actions are proactively tracked and escalated when needed. Internal teams and clients are aligned on next steps, with meetings and follow-ups managed effectively. PMO processes, templates, and reporting are applied consistently and accurately. Resource allocations are kept current and capacity risks are flagged early.

What You'll Do

Create and maintain project plans, trackers, schedules, and resource forecasts across multiple projects. Attend internal and client meetings, capture notes and actions, and follow up to keep delivery on track. Monitor project risks and blockers, propose mitigations, and escalate issues where appropriate. Coordinate internal team logistics, documentation, and resourcing calendars. Produce and distribute project status reports, supporting time tracking, forecasting, and invoicing. Maintain project management tools (e.g., Jira, NetSuite) and support data quality. Apply PMO templates and processes, helping improve and streamline them where needed. Compile portfolio reports, build recurring insight dashboards, and track delivery performance trends. Manage resource logs, support allocation of resources, and highlight gaps or conflicts. Help prepare materials for portfolio reviews and track follow-ups with delivery leads.

A

bout You

A small amount of experience in project coordination, project support, or a PMO environment. Highly organised, with excellent time management and follow-through. Clear communicator who works collaboratively with cross-functional teams. Confident using Microsoft Office (especially Excel and PowerPoint) and project management tools (e.g., Jira, NetSuite). Familiar with PMO processes, governance frameworks, and reporting requirements. (Desirable) Awareness of project management methodologies such as Agile, Waterfall, or Hybrid and/or formal training (e.g., PRINCE2 Foundation, CAPM, AgilePM).
