Job Description


We are looking for a Planned Maintenance Scheduler to support scheduling planned maintenance by external contractors.

Responsible for arranging external contractors to attend sites to conduct planned maintenance, dealing with all internal and external communication, closing work orders and ensuring service reports are received, circulated and stored electronically.

Using administrative and communication skills ,you will ensure \'in target\' attendance from contractors, confirming with on-site personnel to support access and complete contractor management processes.

The position will initially be office based, with the opportunity for hybrid working once proficient.

Main Duties

  • To schedule all planned works to the appropriate contractor resource, paying attention to location, expertise and response targets.
  • To accurately record all job-related information on the appropriate IT systems.
  • Ensure all bookings are communicated and confirmed with all internal/external parties. rescheduling where necessary.
  • Arrange alternative contractor attendance where required, supporting the purchase order process through the procurement of quotes.
  • Ensure all jobs are completed within the required response times. Securing, circulating and electronically filing completion information.
  • Deal with communications in a professional and prompt manner.
  • Provide general assistance to office-based colleagues to deliver site based tasks.
  • Escalate issues with specific jobs, clients, or engineers promptly.
  • Follow Group and company policies and procedures, at all times.
  • Report any apparent deficiencies in systems of work or equipment provided that may result in failure of service delivery, or risk to health and safety, or the environment.
  • Use all work equipment and personal PPE properly and in accordance with training received.
What we are looking for
  • Have experience working within a service delivery environment, contact centre or planning/scheduling role.
  • Possess strong IT skills.
  • Demonstrate a high level of communication skills with the ability to provide detailed information and advice in a clear and positive manner.
  • Have the ability to interact and communicate as appropriate with their audience, which will encompass colleagues, engineers, contract and performance managers and third-party suppliers
  • Show a creative approach to analysing and solving problems using technology and reported information.
  • Adhere to process and compliance requirements.
  • The ability to work with minimum supervision as well as part of a team.
  • Please note this position may require the successful candidate to pass a BPSS security clearance.
